This is a fully remote position, open to applicants in United States.
• Oversee regular operational processes, ensuring that essential business activities are executed accurately and punctually.
• Assist in customer contract management, which includes customer onboarding, contract renewals, pricing adjustments, subscription modifications, and billing updates.
• Keep precise records related to customers, finances, and operations.
• Record business processes and pinpoint areas for improvement in efficiency, accuracy, and consistency.
• Facilitate cross-departmental initiatives involving Sales, Customer Success, Professional Services, Product, Finance, and other teams.
• Aid in internal audits, compliance tasks, and operational documentation.
• Monitor projects, deliverables, responsible parties, and timelines.
• Provide support to the President and leadership team on special projects and urgent priorities.
• Manage customer invoicing, recurring billing schedules, and subscription documentation.
• Supervise accounts receivable and coordinate collection efforts.
• Investigate and resolve billing discrepancies.
• Process vendor invoices and manage accounts payable tasks.
• Assist with month-end closing, reconciliations, and financial reporting.
• Generate and share weekly, monthly, and quarterly business scorecards and KPI reports.
• Aggregate financial, sales, customer, and operational data for leadership reporting.
• Prepare reports for Quarterly Success Reviews, forecasts, budgets, and management evaluations.
• Validate data and examine reporting discrepancies.
• Develop and sustain reports and dashboards.
• Analyze trends while identifying risks, opportunities, and performance deviations.
• Organize trade shows, conferences, customer events, and company meetings.
• Handle event logistics, registrations, sponsorships, booth materials, shipping, promotional items, schedules, travel, and communications.
• Arrange customer and prospect meetings in conjunction with industry events.
• Support marketing activities, which include customer communications, email campaigns, social media, website updates, presentations, collateral, and promotional materials.
• Evaluate trade show and marketing success through leads, opportunities, and customer engagement metrics.
• Collaborate with Finance, Sales, Customer Success, Professional Services, Product, and Leadership on company objectives.
• Manage cross-departmental operational challenges and drive them to completion.
• Assist leadership with research, analysis, presentations, process modifications, and ad hoc business requirements.
• Coordinate projects that lack clear departmental ownership.
• Safeguard the confidentiality of financial, operational, employee, and customer information.
• A bachelor's degree in Business Administration, Finance, Accounting, Marketing, or a related field is preferred; relevant equivalent experience will be considered.
• At least three years of experience in business operations, financial administration, project coordination, accounting, or another cross-functional role.
• Preferred experience in customer billing, accounts receivable, accounts payable, and business reporting.
• Familiarity with preparing management reports, scorecards, KPIs, or business performance metrics.
• Strong preference for experience in coordinating projects, events, trade shows, or marketing initiatives.
• Experience in a SaaS, technology, software, or recurring-revenue business is advantageous.
• Proficient Microsoft Excel skills, including PivotTables, XLOOKUPs, formulas, charts, and data analysis.
• High proficiency in Microsoft Office applications, particularly PowerPoint.
• Experience with ERP or accounting systems such as QuickBooks, Xledger, Microsoft Dynamics GP, or similar platforms.
• Familiarity with CRM systems, especially Salesforce, is preferred.
• Beneficial experience with reporting tools, dashboards, marketing platforms, or project management applications.
• Capacity to swiftly learn and effectively utilize new business applications and technologies.
