This is a fully remote position, open to applicants in Canada.
• Oversee the daily operations of the business under the guidance of the Director.
• Manage both administrative and recruitment teams.
• Assist with risk management initiatives, internal auditing programs, performance metrics, ISO audits, and activities related to business development and marketing.
• Develop, implement, and refine operational workflows, policies, and procedures.
• Promote and facilitate a positive workplace culture.
• Inspire and manage the performance of administrative and/or recruitment teams, including field staff.
• Analyze operational data to identify trends for enhancing operational effectiveness.
• Provide support for budgeting, forecasting, and monitoring financial performance.
• Gather necessary reports for Management Review meetings.
• Reconcile invoices and assist with accounts payable approval processes.
• Aid in business development and marketing efforts.
• Support virtual office functions, including resources, scheduling, training, and workload coordination.
• Implement frameworks for performance metrics and follow through on actions from internal audits and Management Reviews.
• Lead, mentor, and assist administrative staff.
• Coordinate training programs to ensure staff competency in operational processes.
• Encourage accountability, communication, and ongoing improvement.
• Enhance client satisfaction through timely communication, reporting, and quality oversight.
• Engage in quality activities and continuous improvement initiatives as part of the company’s Quality Management System.
• Participate in proactive Health & Safety activities and inform the Supervisor of any risks or concerns.
• Complete Accident Reports for any injured direct reports within 24 hours.
• Maintain the confidentiality of client and corporate information.
• Comply with Bayshore Policies and Procedures.
• Report directly to the Director; manage the Contracts Manager and Recruitment Manager; support Field Staff as needed.
• Perform other tasks as assigned.
• Bachelor's degree in a health or business-related field is required.
• A minimum of five years of progressively responsible experience in office management.
• At least two years of supervisory experience is necessary.
• Proven track record of performance.
• Familiarity with business operations, business development, financial management, and human resources.
• Outstanding interpersonal skills.
• Capability to handle challenging situations objectively and consistently.
• Ability to work independently as well as collaboratively in a team.
• Excellent coaching skills and a commitment to ongoing learning.
• Strong communication and problem-solving abilities.
• Strategic, energetic, and positive mindset.
• Strong ethical standards and relationship-building skills.
• Internal candidates with less formal education must demonstrate a solid track record in accounting and office management, show above-average initiative, and have a proven history of performance.
