This is a fully remote position, open to applicants in Mexico.
• We are looking for a skilled Executive Assistant to provide support to the CEO.
• This position is essential for converting a busy inbox and a calendar filled with meetings into an efficient, priority-focused workflow.
• You will take charge of key operational processes, manage communication channels, coordinate recruitment efforts, and assist in the implementation of tools and standard operating procedures that alleviate the cognitive load for the CEO and the leadership team.
• Daily inbox management: Sort and categorize all incoming emails into specified folders each morning.
• Oversee Google Chat direct messages and project spaces on behalf of the Executive.
• Manage the Executive's calendar, coordinate appointments, and allocate time blocks for important yet non-urgent tasks.
• Compose follow-up emails and ensure prompt communication after meetings.
• Minimum of 3 years of experience supporting senior executives in roles such as EA, Operations Coordinator, or a comparable position.
• Outstanding email management and prioritization abilities.
• A strong systems thinker with a background in creating organized workflows.
• Proficient in digital tools, with a strong preference for Notion.
• Highly proactive and detail-oriented.
• Excellent written communication skills.
• Comfortable making judgment calls regarding prioritization.
• Tech-savvy and adaptable to changing systems and tools.
• Thrives in environments characterized by high accountability and clarity.
• Exceptional organizational skills with the capacity to manage multiple systems (Gmail, Google Chat, Google Calendar, HubSpot).
• Proactive communicator: Able to anticipate needs and take initiative without needing constant guidance.
• Business acumen: Familiarity with sales pipelines, business development processes, and CRM workflows.
• HubSpot experience: Proven experience with HubSpot or similar CRM platforms.
• Attention to detail: Ability to maintain accurate records and notice details that others may overlook.
• Relationship skills: A genuine interest in fostering and maintaining professional relationships.
• Time management: Capability to prioritize competing demands and work efficiently with a busy executive.
• Technical proficiency: Comfortable with Google Workspace, email management, and rapidly learning new tools.
• Technical Requirements: Reliable high-speed internet and a modern home office setup.
