This is a fully remote position, open to applicants in Philippines.
• Provide daily administrative, scheduling, and operational assistance to the Chief Operating Officer.
• Support the Account Manager with client-related documentation, communication, and record maintenance.
• Offer administrative support to effectively manage client accounts and service requests.
• Monitor client deliverables, action items, and follow-ups to ensure they are completed on time.
• Aid in the preparation of client reports, updates, and documentation packages.
• Assist with the documentation and enhancement of internal operational processes.
• Help track invoices and coordinate related documentation.
• Ensure accurate maintenance of client, project, and operational records across company systems and filing platforms.
• Assist in monitoring project timelines, schedules, deliverables, and progress updates.
• Facilitate communication and email flow among internal teams, site teams, contractors, and clients.
• Track subcontractor schedules and updates on project progress.
• Maintain daily site reports and registers for project documentation.
• Oversee and track expiration dates for company trade licenses, permits, and regulatory registrations.
• Coordinate the timely renewal of company licenses and compliance documentation.
• Monitor employee certifications, insurance policies, and professional licenses.
• Liaise with relevant authorities and service providers to ensure ongoing compliance.
• Maintain an updated compliance and renewal calendar to prevent missed deadlines.
• Assist in compliance tracking for safety documentation, permits, and inspections.
• Demonstrated administrative and coordination experience in the construction or building remediation sector.
• Exceptional written and verbal English communication skills for professional email coordination and stakeholder management.
• Strong organizational and time-management abilities with meticulous attention to detail.
• Proven experience in managing project documentation, tracking schedules, and maintaining compliance records.
• Proficient in Microsoft Office, including Word, Excel, and Outlook, at an intermediate to advanced level.
• Experience using online collaboration tools such as Microsoft Teams, OneDrive, and SharePoint.
• Capacity to manage multiple priorities and adhere to strict deadlines in a dynamic environment.
• Dependable and self-managing while working remotely.
• Availability to work full-time hours aligned with Australian Eastern Standard Time business hours.
