This is a fully remote position, open to applicants in United Arab Emirates (UAE).
• Oversee the documentation of comprehensive business processes within both operational and corporate functions.
• Conduct interviews and workshops with stakeholders to gain insights into existing processes.
• Create clear process maps, workflows, and associated documentation.
• Document decision points, approvals, dependencies, and system interactions.
• Establish and maintain a central repository for operational processes and documentation.
• Identify inefficiencies, redundancies, manual tasks, and operational risks.
• Design future-state standardized workflows and, crucially, implement them.
• Develop no-code automations using the current stack (Slack forms and workflows, Notion databases and templates) to minimize manual effort in processes.
• Validate documentation and enhancements with business leaders, and refine as necessary.
• Manage the daily administration of Slack and Notion: channel architecture, permissions and access, structure, cleanliness, and user management.
• Keep the Notion knowledge base as the single, well-structured repository for processes and documentation.
• Implement the permission and data-classification guidelines established by the Head of Operations.
• Serve as the first-line support for Slack, Notion, and Claude, promoting adoption across teams through straightforward guides and hands-on assistance.
• Ensure operational data integrity across Scoro, HubSpot, and the staffing tracker, maintaining consistency between systems.
• Aid in resource planning by tracking project allocations, utilization, and billability, ensuring staffing records accurately reflect delivery strategies.
• Proactively identify and investigate discrepancies between planned allocations and recorded time (e.g., consultants assigned to one project but logging hours elsewhere), collaborating with stakeholders to resolve issues and uphold governance.
• Monitor staffing compliance, highlighting allocation conflicts, capacity risks, and data quality concerns that may affect reporting or resource planning.
• Apply and uphold the shared project code structure to ensure consistency across projects, personnel, pipeline, and time reporting.
• Prepare regular operational KPI and utilization reports, ensuring dashboard inputs are accurate, reconciled, and current.
• Discover opportunities to enhance data quality, reporting accuracy, and operational governance through improved processes and controls.
• Contribute to the implementation of new operational platforms and methodologies.
• Ensure documentation and data facilitate future automation and a scalable operational model.
• Generate reports and insights to aid operational decision-making.
