This is a fully remote position, open to applicants in Arizona, +2 more states.
• Lead, mentor, and provide support to a remote team of over 10 administrative staff members.
• Conduct regular individual meetings, performance evaluations, and coaching discussions.
• Oversee staffing schedules, manage workload distribution, and handle time-off requests.
• Address team issues and resolve interpersonal conflicts in a professional manner.
• Recruit, onboard, and train new members of the administrative team.
• Ensure clear communication and accountability among remote teams.
• Cultivate a culture of accountability, professionalism, and continuous development.
• Act as the main point of contact for escalated patient issues and complaints.
• Manage challenging, emotionally charged, and complex conversations with patients with professionalism and empathy.
• De-escalate difficult situations while maintaining appropriate boundaries.
• Efficiently resolve issues and identify areas for process enhancement.
• Uphold HIPAA compliance and maintain patient confidentiality at all times.
• Thoroughly document concerns and effectively communicate resolutions.
• Monitor daily office operations to ensure a smooth workflow across departments.
• Identify operational inefficiencies and implement viable solutions.
• Develop, update, and enforce office policies and procedures.
• Ensure adherence to company policies, healthcare regulations, and state-specific requirements.
• Collaborate with leadership on operational initiatives and strategic enhancements.
• Support administrative workflows and multi-state operations.
• Oversee scheduling operations, patient communications, billing inquiries, and other administrative tasks.
• Ensure timely communication between providers, staff, and patients.
• Track key performance indicators and operational metrics.
• Maintain office systems, technology platforms, and administrative tools.
• Strategically manage staffing coverage and scheduling needs to align with business demands.
• 3–5+ years of experience in office management, operations management, or healthcare administration.
• Demonstrated experience in leading and managing teams of 4 or more employees.
• Strong leadership abilities with the capacity to motivate, coach, and ensure accountability among team members.
• Exceptional problem-solving skills and sound judgment.
• Excellent abilities in conflict resolution and de-escalation.
• Outstanding verbal and written communication skills.
• Comfortable addressing difficult and sensitive conversations with patients.
• Highly organized with strong attention to detail and follow-through.
• Capable of working independently and making decisions with minimal oversight.
• Proficient in Google Workspace, Slack, scheduling systems, and office software.
• Familiarity with HIPAA and requirements for patient confidentiality.
• Reliable internet connection and a professional home office setup.
• Must reside in California, Nevada, or Arizona.
