This is a fully remote position, open to applicants in United States.
• Address a large volume of client inquiries through both inbound and outbound phone calls, as well as managing emails, while providing prompt, professional, and courteous support.
• Oversee open orders pertaining to drug testing, occupational health, and fingerprinting services.
• Conduct reviews of medical documents to ensure validity and completeness in accordance with regulatory standards and company policies.
• Investigate and resolve escalated issues, including urgent result matters and high-priority orders.
• Provide assistance to key clients, especially those generating annual revenues exceeding $1 million or those opting for premium services.
• Precisely enter, review, and analyze data to guarantee adherence to regulations and company standards.
• Collaborate with clients, applicants, and vendors to address missing or incorrect data.
• Respond to client inquiries via telephone and email, ensuring timely and effective resolutions.
• Organize the performance of services by scheduling appointments, retrieving documents, and processing necessary paperwork.
• Monitor and track overdue or missing services, escalating issues as necessary.
• Maintain up-to-date and accurate knowledge of industry-related regulations and best practices.
• Identify opportunities for process improvements and collaborate with leadership to implement changes.
• Ensure the secure handling of all sensitive information in compliance with company policies.
• Execute general administrative tasks, including faxing, emailing, and updating records.
• Maintain KPI metrics as assigned by leadership.
• High school diploma or GED.
• Experience in medical office administration or support roles, Occupational Health Third Party Administration, and familiarity with healthcare workflows is preferred.
• Prior experience in drug testing, occupational health, or compliance-related services is preferred.
• Strong critical thinking skills with an emphasis on discovery and problem-solving.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Experience in a fast-paced environment with customer service responsibilities.
• Exceptional attention to detail and the ability to manage multiple priorities effectively.
• Familiarity with customer service technology tools such as Salesforce is preferred, along with the capacity to quickly learn proprietary systems.
• Effective communication skills in English (spoken, written, and reading comprehension).
• Ability to accurately interpret and adhere to written procedures.
• Exhibits initiative and a strong capacity to work independently while contributing to a team environment.
• Bilingual in English and Spanish is preferred.
