This is a fully remote position, open to applicants in United States, +4 more states.
• Manage incoming calls from patients, referrals, and general inquiries.
• Schedule, confirm, and follow up on patient appointments efficiently.
• Keep accurate records of patient calls, appointments, communications, authorizations, and billing hours.
• Monitor patient schedules, therapist availability, service coordination, and billable hours.
• Liaise with insurance companies regarding coverage, claims, and authorization requirements.
• Process insurance claims and assist with prior authorizations when necessary.
• Apply ICD-10, CPT, and HCPCS medical coding for claim submissions.
• Aid in credentialing documentation and fulfill insurance requirements.
• Convert therapy units into billable hours for effective scheduling and billing.
• Review therapist schedules to ensure the required billable hours are fulfilled and identify any gaps.
• Create and sustain Excel spreadsheets for schedules, authorizations, and billing hours.
• Utilize Excel functions such as formulas, sorting, filtering, and pivot tables for data management.
• Keep patient records in accordance with healthcare regulations and confidentiality standards.
• Provide administrative support, including document processing and patient correspondence.
• Assist with coordination of remote patient monitoring.
• Schedule interviews for Indeed candidates and coordinate their availability.
• Maintain supervision and tracking spreadsheets.
• A minimum of 1 year of experience in a related role, such as Medical Receptionist, Billing Specialist, Patient Coordinator, or Medical Administrative Assistant.
• Understanding of medical billing, insurance verification, and claims processing.
• Experience in communicating with insurance providers regarding claims, coverage, or authorization requests.
• Familiarity with credentialing processes and prior authorization procedures.
• Knowledge of ICD-10, CPT, and HCPCS medical coding standards.
• Strong scheduling abilities and capacity to manage a high volume of calls and referrals.
• Experience with TheraBill or similar systems, or strong proficiency in scheduling systems.
• Proficiency in Excel, including the use of formulas, data organization, and reporting.
• Competence in converting therapy units into billable hours for scheduling and billing purposes.
• Exceptional attention to detail and ability to verify work for accuracy.
• Clear and direct communication skills.
• Strong English communication and organizational abilities.
• Capability to manage patient-sensitive information confidentially and professionally.
• Relevant work experience is required.
• Must provide an NBI Clearance and/or Local Police Clearance prior to onboarding.
• Availability to attend video meetings with the camera on when required.
• Reliable laptop or desktop computer.
