This is a fully remote position, open to applicants in Philippines.
• Request and gather medical records, invoices, reports, and supporting documents from hospitals, clinics, insurance companies, police departments, and other external entities through email, phone, and case management systems.
• Monitor outstanding requests across various parties simultaneously, keeping detailed logs of requested items, sources, and anticipated delivery dates.
• Follow up with external parties to ensure timely completion, escalating delays and addressing obstacles as necessary.
• Record, route, and maintain documentation in case management systems with precise filing, naming conventions, and metadata entry.
• Meet quality standards and deadlines for case files in a high-volume environment, often managing over 15 open requests.
• Provide status updates to internal team members regarding case file completion, outstanding items, and any blockers.
• Identify and flag incomplete or missing documentation early on to prevent delays in downstream litigation workflows.
• Excellent written and verbal English communication skills, with the ability to correspond professionally with external parties.
• Exceptional attention to detail when dealing with confidential medical and legal documentation.
• Demonstrated ability to handle multiple open requests simultaneously without losing items or missing deadlines.
• Comfortable working in process-driven, high-volume environments with established workflows and quality benchmarks.
• Persistence and strong follow-up skills when coordinating with external parties.
• Capability to work independently while maintaining clear communication with team members regarding progress and obstacles.
• Proficient in using email, spreadsheets, and web-based systems; quick to learn new software applications.
• Prior experience in legal support, medical records management, insurance claims processing, or back-office administration (preferred).
• Familiarity with case management systems such as FileVine, SmartAdvocate, or similar platforms (preferred).
• Experience in managing document requests or records retrieval in regulated healthcare or legal settings (preferred).
• Proven track record of managing high-volume workflows with accuracy metrics exceeding 95% (preferred).
