This is a fully remote position, open to applicants in United States.
• Deliver high-level administrative assistance to the VP of Marketing, which includes coordinating meetings, arranging travel, and managing expense reports.
• Serve as a reliable administrative partner by managing priorities, foreseeing needs, and ensuring the VP of Marketing is well-prepared for both internal and external meetings.
• Organize meeting logistics, create agendas, prepare materials, and follow up for leadership, agency, and cross-functional marketing meetings.
• Assist in the development and enhancement of presentations, pre-reads, and executive-ready documents.
• Coordinate CDAs, consulting agreements, SOWs, and POs in collaboration with Legal and Finance departments.
• Manage confidential and sensitive information with professionalism, discretion, and sound judgment.
• Act as a marketing coordinator, aiding in the planning and execution of marketing initiatives and essential deliverables.
• Collaborate with Finance to facilitate brand budget tracking, invoice processing, and expenditure visibility.
• Help organize and maintain marketing assets, templates, and files using platforms such as SharePoint or other content management systems.
• Liaise with external agencies, vendors, and consultants to support marketing programs and initiatives.
• Assist in the logistics and execution of commercial meetings, internal communications, and cross-functional updates.
• Contribute to the planning and execution of engaging, well-organized Marketing and cross-functional team update meetings that foster alignment, momentum, and connection.
• Act as a primary administrative and operational user for Marketing systems and tools (e.g., SharePoint, project tracking tools, or content platforms as applicable).
• Support onboarding and training logistics for new members of the Marketing team.
• Help to establish and maintain organized, scalable processes to support the expanding Marketing organization.
• Serve as a flexible resource across various Marketing projects as priorities shift.
• Over 10 years of experience in administrative support, marketing coordination, or a hybrid role; experience in life sciences, biotech, or a regulated environment is preferred.
• Proven experience in supporting senior leaders with complex scheduling and administrative requirements.
• Interest in marketing and commercial coordination and execution; previous exposure to marketing, communications, or commercial teams is advantageous.
• Outstanding organizational skills with the capability to manage multiple priorities in a dynamic, fast-paced environment.
• A proactive, anticipatory mindset with the ability to act with urgency and accountability.
• High energy, a positive attitude, and a genuine roll-up-your-sleeves approach.
• Ability to cultivate trusted working relationships across all levels of the organization.
