This is a fully remote position, open to applicants in Florida, +11 more states.
• Oversee Lease Administration resources, including direct-report HR responsibilities.
• Manage client implementations and foster relationships with clients and vendors.
• Centralize, establish, and generate schedules, reports, communication strategies, and process flows.
• Execute lease administration services for designated accounts.
• Lead teams, manage personnel, and supervise hiring and employment practices.
• Act as the managing lease analyst for large accounts and direct Lease Analysts assisting smaller and medium-sized accounts.
• Engage with clients, brokers, account managers, and landlords.
• Ensure database quality control and create, modify, and generate reports.
• Mentor and train Lease Analysts.
• Decode complex commercial lease language.
• Supervise lease abstraction, translation, and quality control processes.
• Assist with account transitions and setups.
• Maintain account processes, procedures, and playbooks.
• Abstract or input rental obligations and other significant lease data.
• Monitor, maintain, and communicate lease expirations, option exercise dates, and other vital information.
• Reconcile outstanding balances and resolve disputes with landlords and clients.
• Serve as the primary point of contact for clients and internal stakeholders.
• Comprehend client business objectives, real estate portfolio strategies, and service expectations.
• Maintain client agreements and contract data in WorkTrac.
• Conduct client meetings and reviews, presenting portfolio updates, metrics, and performance reports.
• Develop and sustain client governance programs.
• Manage client escalations and resolve issues effectively.
• Identify account risks, create mitigation strategies, and manage project solutions.
• Oversee global team service delivery in alignment with client processes and contracts.
• Participate in presentations for new business opportunities.
• Delegate database management responsibilities to global team members.
• Organize weekly calls and internal communications with global lease administration teams.
• Supervise recovery clauses and recovery pools; calculate tenant recovery expenses and review caps, base years, and exclusions.
• Prepare monthly rental payment schedules.
• Monitor, review, and approve payments related to rent, CAM, operating expenses, taxes, and insurance.
• Review and confirm Consumer Price Index adjustments.
• Maintain file systems and ensure the integrity of database data.
• Manage team allocations and workload assignments.
• Bachelor’s degree in business, accounting, real estate, or a related field is preferred.
• A minimum of 7 years of relevant experience in commercial real estate lease administration and/or accounting and property management.
• Experience in either the Landlord or Tenant sector.
• Intermediate to expert proficiency with various commercial real estate database applications, including CoStar, Yardi, Apex, ProLease, Virtual Lease, or other portfolio management systems.
• Proven success working on multi-line global accounts managing over 1,000 leases within a global account management framework.
• Intermediate proficiency in Microsoft Office applications, such as Word, PowerPoint, Excel, and OneNote.
• Comprehensive knowledge of FASB/IFRS accounting standards and general accounting principles is preferred.
• A successful history of working independently, ideally in a remote setting.
• Strong time management capabilities.
• Must be authorized to work in the United States on a full-time basis.
