This is a fully remote position, open to applicants in United States.
• Act as a reliable operational partner to the Marketing, Sales, Market Access, and Executive Leadership teams.
• Spearhead cross-functional operational projects that enhance planning, execution, communication, and overall business effectiveness.
• Create project plans, timelines, governance processes, and operational frameworks that align with strategic business objectives.
• Spot opportunities to optimize business processes, increase efficiencies, and adopt best practices organization-wide.
• Track operational metrics, budgets, vendor performance, and project milestones while offering recommendations to leadership.
• Assist with annual planning, business reviews, forecasting, and operational reporting.
• Oversee the planning and execution of both domestic and global internal and external meetings, such as National Sales Meetings, Advisory Boards, Speaker Programs, Congresses and Scientific Meetings, Leadership Meetings, Commercial Training Meetings, as well as Virtual and Hybrid Events.
• Formulate meeting strategies that align with commercial and corporate goals.
• Manage venue selection, contract negotiations, budgeting, registration, travel logistics, food & beverage, audiovisual production, meeting technology, and onsite execution.
• Provide outstanding support for executive leadership meetings and high-profile corporate events.
• Ensure that all meetings and engagements adhere to pharmaceutical industry regulations, including HCP engagement requirements, Sunshine Act/Open Payments reporting, Global Spend Transparency, FMV requirements, and Anti-Bribery/Anti-Corruption policies, as well as company compliance policies.
• Collaborate with Compliance, Legal, Finance, and Global Spend Transparency teams to proactively identify and mitigate compliance risks.
• Ensure accurate reporting and documentation of value transfers for all relevant HCP interactions.
• Supervise Preferred Logistics Agencies (PLAs), meeting agencies, and external vendors to guarantee consistent execution and compliance.
• Establish metrics for vendor performance and monitor service quality, budget compliance, and operational excellence.
• Lead negotiations with hotels, venues, production companies, and suppliers to maximize value while minimizing business risks.
• Propel continuous improvement initiatives in collaboration with agency partners.
• Develop and manage meeting and operational budgets.
• Monitor expenditures, forecasts, and reconciliation processes.
• Identify cost-saving measures while ensuring high-quality execution.
• Work closely with Procurement and Finance on vendor management and contract compliance.
• Bachelor’s degree is required.
• 6+ years of experience in pharmaceutical meeting planning or project management.
• Experience in supporting Commercial, Medical Affairs, or Corporate Operations within the pharmaceutical or biotechnology sector.
• Proven experience in managing complex cross-functional initiatives within a growing organization.
• Experience in planning and executing pharmaceutical meetings and events.
• Experience in managing third-party vendors and logistics agencies.
• Project management experience with multiple concurrent initiatives.
