This is a fully remote position, open to applicants in United States.
• Process Development: Create and implement a comprehensive operating model for proposal submissions, which includes a go/no-go qualification framework to assess strategic alignment, resource availability, and likelihood of success before proceeding with an RFP; documented intake and triage procedures for all incoming RFx requests; standardized submission workflows that encompass kickoff, review gates, approval routing, and final delivery; along with clear RACI definitions to outline how Sales, Sales Engineering, Legal, InfoSec, and other stakeholders interact at every phase of the process.
• People Manager: Lead and nurture the Proposal Operations team. Establish clear performance objectives, provide ongoing coaching and feedback, and foster growth opportunities for your team members. As the department expands, play a role in headcount planning and recruiting additional team personnel.
• End-to-End RFx Management: Oversee the full lifecycle of RFIs, RFPs, and RFQs from initial receipt and triage through to final submission. Set timelines, assign tasks, and ensure strict compliance with deadlines.
• Cross-Functional Coordination: Serve as the main point of contact for coordinating various internal teams. You will skillfully negotiate resources across different departments and functions to acquire the necessary subject matter expertise for intricate bids.
• Technical Writing & Content Creation: Utilize your experience as a technical writer to convert complex technical terminology—such as SaaS architectures, hybrid access models, and data governance—into clear, persuasive, and compelling proposal language.
• AI Automation & Knowledge Management: Function as the administrator for our proposal content library. You will employ advanced AI automations, particularly Claude Cowork, to process previous responses, generate initial drafts, refine tone, and continuously enhance our proposal workflows.
• Quality Assurance: Review and edit all proposal content to ensure clarity, consistency, formatting, and alignment with Egnyte’s overarching brand messaging and strategic value propositions.
• 3-5+ years of experience in proposal coordination, technical writing, bid management, or a related role within a SaaS or B2B technology environment.
• Prior experience managing or mentoring at least one team member is preferred; demonstrated capability to build and develop a high-performing proposals function.
• Must be located in the US Eastern time zone to facilitate effective communication between our North American and EMEA teams.
• Experience collaborating closely with pre-sales or sales engineering teams is highly preferred.
• Technical Writing Background: Outstanding writing, editing, and proofreading abilities, with a proven track record of translating highly technical concepts into accessible business language.
• AI Tool Proficiency: Strong hands-on experience using generative AI tools and automations—specifically Claude Cowork (or similar enterprise AI platforms) for content generation, prompt engineering, and knowledge base management.
• Project Management: Exceptional organizational skills with the ability to juggle multiple complex, high-stakes projects simultaneously under tight deadlines.
• Cross-Functional Leadership: Proven ability to achieve results and sustain momentum across diverse teams without direct reporting authority.
