This is a fully remote position, open to applicants in Kenya.
• Serve as the primary gatekeeper for the CEO’s email inbox.
• Assess incoming emails and categorize them based on urgency, significance, client needs, and required actions.
• Recognize messages that need immediate attention or follow-up, and manage communication in a professional manner.
• Organize and manage the CEO’s calendar to coordinate essential meetings and tasks.
• Oversee firm deliverables and ensure that client requests are met promptly.
• Assist with specific bookkeeping-related tasks as training and access are granted.
• A Bachelor’s degree or diploma in Business Administration, Finance, Accounting, or a related field is preferred.
• At least 3 years of relevant experience in administrative support, executive assistance, virtual assistance, operations support, bookkeeping, accounting support, or financial operations.
• High proficiency in QuickBooks Online.
• Familiarity with bookkeeping principles, basic accounting processes, document collection, and bookkeeping close procedures.
• Excellent written English communication skills, particularly for professional email correspondence, client follow-ups, and drafting professional responses or templates.
• Experience in managing inboxes, client interactions, administrative processes, executive support tasks, and task management systems.
• Exceptional organizational skills with the ability to handle multiple open items, prioritize by urgency and business impact, and ensure reliable follow-through.
• Ability to manage upwards and assist a senior leader in remaining focused, organized, and on track.
• Strong attention to detail and accuracy, particularly when dealing with financial, tax, client, and business information.
• Professional judgment, discretion, and confidentiality when engaging with clients and managing sensitive information.
• Proficient in using Google Workspace, including Gmail, Google Drive, Google Docs, Google Sheets, and Google Calendar.
• Capability to work independently in a remote setting while asking clear questions, identifying missing information, and escalating issues appropriately.
• Experience in creating checklists, Standard Operating Procedures (SOPs), trackers, and repeatable administrative systems.
• Comfortable supporting a U.S.-based professional services firm and collaborating with a leader who operates quickly and values proactive follow-through.
