This is a fully remote position, open to applicants in Philippines.
• Deliver extensive secretarial and administrative assistance to the Principal Solicitor and Practice Manager
• Draft, format, and modify legal documents, correspondence, and contracts, while completing online court applications
• Maintain precise records and document management systems, including matter management
• Oversee diary management, appointment scheduling, and meeting organization
• Manage incoming and outgoing correspondence, emails, and telephone inquiries
• Handle Conveyancing & Property Transactions
• Assist with residential and commercial conveyancing cases from instruction to settlement
• Prepare conveyancing documents and contracts
• Conduct title, council, and property searches
• Liaise with clients, real estate agents, brokers, buyers' agents, and financial institutions
• Coordinate settlements and manage post-settlement tasks
• Prepare and lodge documents via PEXA
• Monitor critical dates to ensure adherence to settlement timelines
• Provide Estate Planning Support
• Draft and prepare Wills, Enduring Powers of Attorney, and Enduring Guardianship documents
• Coordinate execution appointments
• Manage client communications throughout the estate planning process
• Prepare probate and estate administration documentation as needed
• Handle Financial Administration
• Prepare invoices and trust account requests
• Process client receipts and assist with accounts payable and receivable
• Reconcile client payments and matter-related expenses
• Manage financial administration using Xero
• Deliver Client Service
• Serve as the primary point of contact for clients and stakeholders, providing a high standard of professional service
• Uphold confidentiality and professionalism consistently
• Establish and maintain strong relationships with referral partners including buyers' agents, mortgage brokers, and real estate professionals
• At least 5 years of experience as a Legal Secretary, Legal Assistant, or Conveyancing Secretary
• Proven experience in supporting solicitors within a busy legal practice
• Experience in preparing estate planning documents including Wills and Powers of Attorney
• Demonstrated capability to manage high-volume legal matters across various practice areas
• Technical Skills
• Advanced proficiency in Smokeball and PEXA
• Experience using Xero for financial administration
• Advanced proficiency in Microsoft Word, Outlook, Excel, PowerPoint, and Teams
• Fast and precise typing with strong document formatting skills
