• Uphold confidentiality and professionalism while managing legal information.
• Offer administrative assistance to attorneys and legal personnel.
• Create and sustain reports that highlight deadlines and action items due within the next 30 days.
• Ensure that court-filed documents are archived in the firm's internal filing systems.
• Examine court websites and align court data with internal calendars to accurately monitor deadlines and court appearances.
• Document and associate incoming emails and phone calls with the relevant matter in Clio.
• Confirm that file names are precise, consistent, and stored in the correct directories.
• Identify discrepancies, missing information, or procedural issues and propose solutions.
• Assist with additional executive or personal assistant tasks as necessary.
• Facilitate matter management activities and uphold precise legal records.
• Refresh deadlines, court information, and matter details in the firm's database.
• Review case files to ensure information is thorough, organized, and compliant with internal standards.
• Leverage AI-supported tools and documented procedures to establish proper document storage and naming conventions.
• Systematically organize and assess case files weekly to ensure documents are stored in alignment with firm procedures.
• Prior experience as a Legal Assistant, Legal Administrative Assistant, or in a similar legal support capacity.
• Experience collaborating with law firms or using legal case management systems.
• Knowledge of legal terminology, court deadlines, audits, and matter organization.
• Experience in document management and providing administrative support.
• Outstanding attention to detail.
• Excellent organizational and file management abilities.
• Capability to manage multiple deadlines concurrently.
• Proficient written and verbal communication skills.
• Strong critical thinking and problem-solving capabilities.
• Ability to accurately follow standard operating procedures.
• Quick learner with strong adaptability skills.
• Experience in legal document organization and matter management.
• Understanding of court filing processes and deadline tracking.
• Ability to work independently while seeking clarification when necessary.
