Legal Client Intake Specialist – Immigration

This is a fully remote position, open to applicants in Michigan.

📋 Description

• Utilize workflows to oversee the entire intake process, which includes check-ins, updates on case status, and necessary follow-ups with a high volume of clients daily.

• Supervise and respond to various shared inboxes, ensuring inquiries from both prospective and existing clients are handled and routed promptly.

• Make outbound calls to prospective clients to facilitate consultations and intake processes, address queries, and advance cases with same-day or next business-day follow-ups.

• Document and consistently update all client information and feedback in HubSpot.

• Assist multiple attorney teams by coordinating leads, managing calendars, tracking case assignments, and conducting post-appointment follow-ups.

• Assess client credentials (resumes, Google Scholar citations, highest degrees, etc.) to aid in case evaluation and eligibility determinations, ensuring attorneys have complete and organized information for review.

• Execute additional responsibilities as assigned by management.


⛳️ Requirements

• Bachelor's degree or equivalent experience.

• At least 1 year of experience in a customer service, administrative, or other public-facing role that emphasizes a high level of service.

• Proficiency in HubSpot, Microsoft Office, and/or other CRM systems is highly preferred.

• Comfort with firm-approved AI and automation tools to support intake workflows.

• Strong organizational abilities and a keen attention to detail.

• Excellent communication skills.

• Proficiency in additional languages is an asset but not mandatory.

• Cultural sensitivity and a commitment to supporting immigrants while recognizing their meaningful contributions to America's economy and culture.

• Experience in remote or hybrid work settings is preferred.
