This is a fully remote position, open to applicants in Brazil.
β’ Ensure the practice management system contains precise and current information.
β’ Seek clarification on unclear instructions and implement feedback to enhance future performance.
β’ Actively identify work opportunities and provide assistance to team members as necessary.
β’ Organize, label, and manage legal files and case documentation.
β’ Draft basic legal documents and correspondence using established templates.
β’ Schedule hearings, meetings, deadlines, and case-related events in firm calendars.
β’ Track upcoming deadlines and liaise with attorneys and paralegals regarding outstanding tasks.
β’ Support multiple active cases while balancing competing priorities and deadlines.
β’ Uphold confidentiality and professionalism when dealing with sensitive legal information.
β’ Provide both administrative and legal support to attorneys and paralegals.
β’ Assist in prospective client screening activities as per training and established protocols.
β’ Conduct around three to four outbound follow-up calls weekly to prospective or existing clients as needed.
β’ Aid in scheduling and follow-up activities for prospective clients.
β’ Follow up with clients regarding needed documentation and case-related requirements.
β’ Dispatch routine correspondence to clients, opposing counsel, and other parties as instructed.
β’ Take accurate notes during internal meetings and case discussions.
β’ Assist with the preparation of timelines and organization of information related to active matters.
β’ Carefully review documents to ensure accuracy prior to submission or distribution.
β’ Update forms, pleadings, and legal documents with case-specific information.
β’ Enter and refresh client information, contact details, case specifics, and important dates.
β’ Prior experience as a Legal Assistant, Administrative Assistant, Litigation Assistant, or in a similar support role is preferred.
β’ Experience in plaintiff-side litigation is preferred but not mandatory.
β’ Strong skills in organization and time management.
β’ Exceptional attention to detail and commitment to accuracy.
β’ Excellent verbal and written communication skills in English.
β’ Ability to handle multiple priorities and meet deadlines.
β’ Capability to work independently while effectively collaborating with a legal team.
β’ Professional judgment and discretion in handling confidential information.
β’ Comfortable communicating with clients and external parties via phone and email.
β’ Ability to accept feedback constructively and apply it to future tasks.
β’ Availability to work Monday through Friday, from 8:00 AM to 5:00 PM Pacific Standard Time.
β’ Familiarity with practice management systems, CRM platforms, VOIP phone systems, email platforms, calendar management tools, internal communication tools, and Microsoft Office Suite or Google Workspace.
