This is a fully remote position, open to applicants in United States.
• Triage and address incoming Legal requests and external notifications, ensuring all deadlines are tracked so nothing is overlooked.
• Oversee legal calendaring related to filings, renewals, and compliance duties.
• Coordinate with Finance for invoice processing and vendor payments.
• Manage physical correspondence, logistics for board preparation, and note-taking during key Legal meetings.
• Organize Legal's document and contract repositories in Google Drive, including naming conventions, folder structure, and access controls.
• Oversee DocuSign workflows: monitor envelope statuses, archive completed agreements, and maintain orderly records.
• Assist with document migrations, system clean-ups, and privacy-related documentation (DPAs, GDPR requests, data flows).
• Utilize AI tools and automation to minimize manual tasks, enhance document retrieval, and ensure consistency throughout Legal processes.
• Actively identify deficiencies in document management and propose enhancements.
• Track corporate records, manage filing timelines, and guarantee timely submissions across various jurisdictions.
• Maintain compliance calendars with visibility shared among Finance, HR, and Legal.
• Examine MNDAs, amendments, and exceptions in order forms, flagging concerns for attorney review.
• Employ AI tools to assist in contract review—identifying non-standard terms, summarizing provisions, and highlighting risks for attorney assessment.
• Collaborate with the Sr. Legal Ops Manager to pinpoint and implement process enhancements.
• Proactively seek new opportunities for AI automation and assist in driving implementation alongside the Sr. Legal Ops Manager.
• Serve as a central coordination point for Legal initiatives, ensuring organization and progress.
• A minimum of 2 years of experience in a legal assistant, paralegal, or a comparable operational position (either in-house or at a law firm).
• Excellent organizational abilities and meticulous attention to detail—you notice what others might miss.
• A genuine comfort level with AI tools, coupled with a proactive approach to leveraging technology for enhanced work efficiency.
• Experience in managing documents, calendars, and administrative workflows at a high volume.
• Capability to manage multiple workstreams and adapt priorities without losing focus.
• Strong communication skills and ease in cross-functional collaboration.
• Proven experience in overseeing high-volume document systems (such as Google Drive) with a solid commitment to structure, naming conventions, and accessibility.
