This is a fully remote position, open to applicants in District of Columbia.
• Oversee administrative contract trackers and inform the assigned Senior Paralegal about impending signature deadlines, expiration dates, and other significant administrative milestones.
• Prepare, format, and circulate contract documents, signature packets, and associated materials for review, approval, and execution, adhering to established templates and procedures.
• Handle requests for certificates of insurance and standard vendor registration forms, collecting and inputting necessary information and coordinating with requesters and carriers.
• Maintain the contract repository by efficiently and accurately filing executed agreements, amendments, and related documents, ensuring that records are complete, organized, and easily retrievable.
• Distribute and route incoming contract requests to the appropriate Senior Paralegal for review and assist in locating executed agreements as required.
• Compile administrative data and contract metrics for regular reports to the Senior Managing Counsel.
• Coordinate scheduling, meeting logistics, and follow up on communications related to contract processing and internal stakeholder meetings.
• Regularly assess and update records in the contract management system, ensuring data entry accuracy and consistency.
• Perform internal audits of contract records and legal documentation, preparing summary reports for attorneys as necessary.
• Provide assistance to the broader legal team as required with various administrative and organizational tasks.
• A minimum of 1 year of experience in an administrative or coordination role, preferably supporting a legal, contracts, or compliance function.
• Proven ability to manage multiple trackers and deadlines with precision.
• Familiarity with contract management systems or similar databases, with a quick learning ability for new tools.
• Excellent written and verbal communication skills, with sound judgment on when to escalate legal issues.
• Capability to work independently on routine tasks while maintaining close coordination with Senior Paralegals.
• High school diploma or equivalent is required; 1+ years of relevant experience is preferred.
