Leave of Absence Case Manager

This is a fully remote position, open to applicants in Colombia.

📋 Description

• The Leave of Absence Case Manager is responsible for overseeing and managing employee leave requests and accommodations that require specialized attention for the employees of our clients.

• You will leverage your existing skillset and expertise to handle leave requests related to FMLA, ADA, state/local laws, company policies, and short- and long-term disability plans.

• You will collaborate with our clients while adhering to all standard operating procedures, ensuring that they and their employees receive an exceptional service experience.

• This role involves utilizing various systems to manage employee leave scenarios.

• You will work closely with internal colleagues across different teams.

• The position may require interaction with third-party providers as necessary to assist our clients and their employees.

• You will be responsible for the complete administration of the leave process from initial request/notice to return-to-work, which includes documentation, determining eligibility, and accounting for intermittent and reduced-schedule leave.

• You will develop and sustain relationships and communication with internal partners, clients, client employees, and third parties as needed.

• You will communicate with employees regarding their needs and the available solutions.

• You will ensure employees are informed of their responsibilities and the documentation and notice requirements involved in qualifying for and taking leave.

• You will provide guidance on how leave laws interact with paid-time-off and short-term and long-term disability benefits.

• You will facilitate and coordinate all aspects of the leave management process for our clients and their employees.

• You will maintain complete and accurate records of leave and accommodation requests in compliance with specified legal requirements and best practices.

• You will keep up-to-date with all applicable leave and accommodation laws, including FMLA, ADA, and state/local regulations.

• You will ensure that records of leave and accommodation requests are complete and accurately maintained, which includes adhering to, creating, and updating standard operating procedures.

• You will promptly update the Monday.com LOA Board for each client and maintain communications/updates for a real-time leave database.

• You will uphold service level agreements (SLAs) with response times for employees and clients.

• You will coordinate with payroll and benefits teams to provide relevant leave information and tracking.

• You will maintain the confidentiality of employee medical documentation and files in accordance with HIPAA regulations.

• You will communicate with internal staff when necessary for escalations or assistance with complex situations.

• You will assist in or prepare correspondence for clients and employees.

• You will perform other related duties as assigned.


⛳️ Requirements

• Knowledge of federal and state leave of absence (LOA), short-term disability (STD), and ADA regulations.

• Familiarity with the state policies of three or more of the following states: CA, NY, NJ, MA, OR, MN, RI, CO, DC, & WA.

• Experience in a high-volume leave case management environment supporting multiple leaves and states simultaneously is preferred.

• Comfortable working with clients, brokers, and third-party vendors.

• Exceptional verbal and written communication skills.

• Strong interpersonal, problem-solving, organizational, and customer service skills.

• Must possess a keen attention to detail.

• Must be adaptable to change in an evolving organization.

• Excellent time management skills with a proven ability to meet deadlines.

• Ability to perform well in a fast-paced and occasionally stressful environment.

• Proficiency in Microsoft Office Suite and other relevant software applications.

• Experience with a document signature system.
