• Prepare and submit the necessary documentation for DoD-sponsored contractors and civilians to facilitate business travel for FMS Case(s).
• Ensure that all travel-related paperwork is accurate and adheres to DoD regulations.
• Submit Requests for Visit (RFV).
• Assist subcontractors with RFV submissions while advising on content and timelines.
• Provide weekly updates to the team calendar for integration into the master schedule.
• Help track important program milestones and ensure timely updates.
• Create meeting minutes and monitor key action items.
• Organize and maintain all meeting documentation for easy access.
• Coordinate and assist with in-person meetings in the Washington, D.C. area.
• Review, annotate, and process documents as necessary.
• Maintain trackers to ensure that contractors fulfill required company and DoD training.
• Handle controlled unclassified information, correspondence, and communications, along with other coordinated tasks.
• Assist in tracking action items from meetings and ensure follow-through.
• Conduct action item reviews with foreign customers.
• Perform various administrative tasks to support team operations.
• Assist in preparing reports, presentations, and other documentation as required.
• Maintain a comprehensive travel process brief that outlines Government of Canada (GoC) and U.S. travel requirements, timelines, resources, and relevant policies.
• Serve as Day One Coordinator and I-9 Certifier for new hires.
• Maintain a detailed onboarding brief for new team members.
• Bachelor's degree in Business Administration, Management, or a related field is preferred.
• 1-3 years of experience in a similar role.
• Strong organizational and time-management skills.
• Excellent communication and interpersonal abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Capability to maintain confidentiality and manage sensitive information.
• Ability to work effectively both independently and as part of a team.
• Demonstrated proactivity, creativity, and innovative thinking, along with critical and strategic thinking skills.
• Active Secret security clearance is required.
• Experience in a defense or government contracting environment is preferred.
• Familiarity with DoD travel regulations and procedures is preferred.
• Knowledge of Foreign Military Sales (FMS) processes is preferred.
• Understanding of program management and milestone tracking is preferred.
• Ability to sit for extended periods is preferred.
• Manual dexterity for computer use is preferred.
• Occasional lifting of up to 10 pounds may be required.
