
IT Service & Asset Manager

This is a fully remote position, open to applicants in Latvia.
• Take ownership and manage relationships with external IT service providers.
• Establish service expectations, scope, and priorities that align with business requirements.
• Monitor service delivery, performance, and compliance with agreed SLAs and KPIs.
• Supervise the organization’s IT infrastructure landscape, which includes:
• Cloud environments (servers and virtual machines)
• Data backup and recovery systems
• Network architecture and connectivity across all office locations
• Website hosting and related services
• Ensure that IT services and infrastructure are aligned with overall IT architecture and operational standards.
• Serve as the primary coordination point for all IT-related requests and activities.
• Manage the IT workplace ecosystem to guarantee a seamless end-user experience.
• Oversee the full IT asset lifecycle, encompassing:
• Procurement
• Deployment and configuration
• Maintenance and replacement
• Decommissioning and disposal
• Manage end-user hardware, including laptops, mobile devices, and peripheral equipment.
• Coordinate onboarding and offboarding processes related to devices for employees.
• Ensure standardization, cost efficiency, and user satisfaction throughout the workplace environment.
• Own, maintain, and enforce the Acceptable Use Policy (AUP).
• Maintain a centralized and accurate register of hardware and software assets.
• Ensure transparency regarding:
• Asset inventory
• Ownership and allocation
• Lifecycle status and associated costs
• Establish and uphold standards for asset tracking, documentation, and governance.
• Align asset data with financial tracking, procurement records, and operational usage.
• Oversee software procurement processes and policies.
• Ensure that software acquisitions adhere to standardized workflows and approval processes.
• Manage the software lifecycle and license management, which includes:
• License allocation and tracking
• Usage monitoring and optimization
• Renewal and termination management
• Ensure that software usage complies with internal governance and compliance requirements.
• Regularly review the software portfolio to identify opportunities for cost optimization and eliminate redundant or unused licenses.
• Ensure IT assets, software, and infrastructure are operated in accordance with applicable governance frameworks and organizational policies.
• Coordinate necessary reviews related to data protection, cybersecurity, and IT security requirements.
• Collaborate closely with the Data Protection Officer (DPO) and Information Security Officer to ensure effective implementation of security and compliance requirements within IT operations.
• Manage IT vendors, contracts, and service agreements throughout their lifecycle.
• Promote IT cost transparency and optimization, including:
• Budget planning and tracking
• Identification of cost-saving opportunities
• Provide operational visibility and reporting on IT assets, services, vendors, and associated costs to support informed business decisions.
• Strong experience in IT operations, IT service management, and vendor management, particularly in coordinating and managing external service providers.
• Proven track record of working with external IT partners or managed service providers, ensuring service quality, accountability, and alignment with business needs.
• Solid understanding of IT service landscapes, including workplace technologies (e.g., Microsoft 365), cloud services, and typical enterprise IT environments.
• Ability to translate business needs into structured service requests and ensure effective follow-up and delivery by external providers.
• Experience managing IT assets, software licenses, and subscriptions, including lifecycle tracking, usage optimization, and cost control.
• Practical experience in IT budgeting and cost management, including tracking IT expenditures, understanding cost drivers, and identifying opportunities for optimization across services, licenses, and contracts.
• Strong understanding of vendor and contract management, including service agreements, renewals, and performance monitoring.
• Experience in establishing structured processes and ensuring transparency across IT services, assets, and vendors.
• Ability to evaluate IT services and provider deliverables from both functional and business perspectives, without requiring deep technical specialization.
• Experience in coordinating IT-related topics across multiple stakeholders, ensuring prioritization, clarity, and timely resolution.
• Working knowledge of data protection (GDPR) and information security principles, with the ability to ensure that IT services, tools, and vendors operate in alignment with these requirements.
• Experience in maintaining clear, audit-ready documentation for IT assets, licenses, vendors, and service processes.
• Strong focus on cost awareness and continuous optimization of IT services, tools, and contracts.
• Ability to create structured documentation and user guidance to support consistent and compliant use of IT services across the organization.
• Excellent communication skills, with the ability to act as a bridge between business stakeholders and external IT providers.
