This is a fully remote position, open to applicants in Romania.
• Oversee the complete lifecycle of clinical site payment management, which encompasses protocol activity schedules, per-subject costs, payment triggers, database building activities, startup payments, EDC-driven visit payments, and billable items.
• Direct the planning of essential payment activities and ensure that systems are configured correctly, with timely delivery of startup milestone payments.
• Evaluate EDC design and data collection processes to ensure accurate alignment with budget structures and prompt payment triggering.
• Address payment issues and lead resolution efforts to reduce delays in site payments.
• Review and provide guidance on the configuration of site contracts and budgets within payment systems.
• Monitor vendor compliance with investigator payment processes and standards, which include payment approvals, invoice management, and query resolution.
• Manage complex technology and process challenges related to site relationships, budgets, contracts, regulatory requirements, languages, taxes, and currencies.
• Analyze study payment performance, identify underlying issues, and implement corrective actions.
• Ensure that purchase orders are active and sufficient funding is available for approved payments.
• Assist with study-specific investigator payment audits when necessary.
• Address payment escalations at both site and study levels.
• Ensure that contracts, work orders, and funding facilitate the execution of site payments.
• Bachelor's degree or equivalent relevant professional experience.
• Over 2 years of experience in clinical contracts and budget administration, accounting, finance, clinical project management, clinical operations, or a related field.
• Familiarity with clinical operations, clinical protocols, and site budgets.
• Knowledge of clinical site and vendor budgets and payment terms.
• Exceptional interpersonal, organizational, administrative, and problem-solving abilities.
• Capacity to collaborate effectively across functions, including clinical operations, business technology, legal, finance, tax, and other teams.
• Demonstrated ability to complete assignments, tasks, and projects with minimal supervision, while making informed investigator payment recommendations.
• Proficiency in working independently within a collaborative, team-oriented environment.
• Preferred: experience with EDC data and systems.
• Preferred: experience with industry payment-processing software and the development of business requirements.
• Preferred: experience within a Clinical Research Organization or sponsor.
• Preferred: knowledge of local tax and payment regulations in countries where clinical trials are conducted.
