This is a fully remote position, open to applicants in North Carolina.

📋 Description

• Prepare and submit grants and contracts through the pre-award process in accordance with both Sponsor and Duke regulations.

• Provide guidance to faculty/PI on administrative requirements for proposal submissions.

• Prepare, coordinate, and review proposal components such as biosketches, budgets, justifications, and facilities & resources to ensure consistency, accuracy, and completeness.

• Monitor adherence to agency and University regulations concerning submissions; verify all financial details, including the application of the appropriate overhead rate for the project.

• Oversee the subcontract process in collaboration with the pre-award office and partner organizations.

• Manage budgets, efforts, reporting, and compliance timelines throughout the grant or contract lifecycle; communicate new WBSEs to relevant department personnel.

• Advise faculty/PI on necessary budget adjustments and revisions to meet sponsor requirements.

• Provide ad hoc reports to the unit business manager and PIs as requested.

• Establish financial and reporting requirements for sub-recipients; coordinate the issuance of sub-agreements with the pre-award office.

• Reconcile monthly budget reports and inform faculty/PI and/or supervisor of any corrections or adjustments made.

• Identify and submit cost transfers resulting from budget reconciliation.

• As requirements evolve, prepare and submit requests for re-budgeting or modifying the funded project.

• Reconcile and close all sub-recipient cost objects and obtain all reports required by the sponsor.

• Monitor compliance with agency and University regulations regarding reporting.

• Maintain financial records in accordance with institutional document retention guidelines.

• Manage overdrafts following unit procedures and institutional guidelines.

• Ensure accurate recording of revenue associated with all projects, applying revenue management standards.

• Close all funded projects in line with university processes and timelines.

• Develop a project management plan for review by the faculty/PI or senior-level grants administrator.

• Monitor and implement cost-sharing to accurately reflect labor distribution or related cost-sharing obligations.

• Apply federal and university regulations to properly manage effort for individuals compensated partially or fully from sponsored awards.

• Submit reports to central and unit management as required.

• Perform other related duties as assigned within the scope of work described herein.


⛳️ Requirements

• Communications, analytical, and organizational skills typically gained through the completion of a bachelor's degree program.

• Preferred background in research or grants education and/or certification.

• Successful completion of Financial Services Introduction to R3, Introduction to Duke GL, Introduction to Accounting, Sponsored Research Reporting, Research Administration at Duke (online), Basic Compliance (online), Duke Human Research Training (online), Budget Development and Negotiation Training, and Industry Funded Clinical Research—Process for Contracts within the first six months of hire is required.

• Successful completion of the Research Administration Academy (RAA) is expected.

• Strong analytical, critical thinking, and problem-solving abilities.

• Exceptional attention to detail with the capability to manage complex financial data.

• Advanced proficiency in Excel and Microsoft Office.

• Ability to handle multiple priorities in a fast-paced environment.

• Knowledge of sponsored research regulations is preferred.

• Strong communication and collaboration skills.

• Customer service-oriented mindset.

• Ability to make independent, sound decisions.

• Adaptability to evolving systems and regulations.
