Intake Specialist

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee referral portals and communication channels for incoming patient referrals.

• Assess referrals for completeness and accuracy.

• Collaborate with case managers, clinicians, and referral sources to advance referrals toward Start of Care (SOC).

• Conduct welcome calls to patients as assigned, including the verification of Primary Care Provider (PCP) information.

• Monitor, rehome, or close declined referrals according to documented procedures.

• Address patient intake inquiries through phone, email, or EHR systems.

• Gather and confirm demographic, medical, and insurance details.

• Clearly and empathetically explain the intake process, required documentation, and subsequent steps.

• Verify insurance eligibility using Medicare, Medicaid, and private payer portals.

• Confirm authorization requirements and coverage details as documented.

• Prepare, send, and track necessary intake and referral documentation.

• Accurately enter and maintain patient information in EHR/EMR systems (e.g., WellSky, AlayaCare, AxisCare, or similar platforms).

• Monitor unsigned orders and follow up with PCP offices to ensure completion.

• Assist with Medicaid billing processes by preparing and submitting claims as assigned.

⛳️ Requirements

• Must be a graduate of a 4-year course or possess a Bachelor’s degree.

• Previous experience in healthcare administration, medical intake, patient access, or billing support is required.

• Strong knowledge of intake workflows, insurance verification, and documentation standards.

• Exceptional English communication skills, both written and verbal.

• High attention to detail, strong follow-through, and effective time management skills.

• Ability to work independently while adhering to structured processes and SOPs.

• Proficient with Google Workspace, Microsoft Office, Slack, and similar tools.

• Must be willing to work an 8-hour graveyard shift - PH Time, aligned with U.S. business hours.

• A stable internet connection (minimum of 100MBPS download speed; minimum of 50MBPS upload speed) and reliable computer equipment (minimum of Intel Core i5 or equivalent with at least 8GB of RAM) is required, including a backup device.

• Preferred (but not mandatory): Philippine Registered Nurse or a minimum of 2 years of healthcare experience.

• Experience in home health, hospice, or medical office settings is advantageous.

• Familiarity with EHR/EMR platforms (WellSky, AxisCare, AlayaCare, etc.) is a plus.
