This is a fully remote position, open to applicants in South Africa.

• Engaging with incoming leads on a daily basis and assessing families for our services

• Providing complimentary consultations via phone (no need for Zoom or Teams)

• Overseeing the completion of intake paperwork and documentation

• Assisting families through the onboarding journey and maintaining ongoing communication

• Keeping our CRM pipeline current to ensure prompt follow-up and progress through the intake procedure

• Managing the scheduling phone line and addressing scheduling inquiries from families and staff

• Creating and sustaining client schedules based on family preferences, staff availability, and clinical advice

• Organizing therapist assignments and making necessary schedule adjustments

• Handling schedule modifications due to staff absences, family cancellations, vacations, and other urgent needs

• Updating families, RBTs, BCBAs, and leadership about scheduling changes

• Monitoring schedule stability and assisting in maximizing client access to services

• Resolving scheduling conflicts and devising innovative solutions to ensure seamless service delivery

• Working closely with Clinical and Operations teams to address staffing and scheduling requirements

• Establishing and nurturing relationships with pediatricians, diagnosticians, schools, and community referral sources

• Aiding outreach initiatives to boost referrals and enhance community awareness of our services

• Background in ABA, healthcare scheduling, staffing coordination, or client services

• Exceptional customer service and phone communication abilities

• Proven experience managing multiple calendars or schedules concurrently

• Capability to handle confidential information with professionalism

• Strong attention to detail, follow-through, and time management skills

• Excellent communication skills

• Flexibility to work U.S. hours
