This is a fully remote position, open to applicants in Virginia.
• Retrieve, format, and disseminate regular evaluation and event reports (daily, weekly, monthly, quarterly, and annually).
• Oversee data trackers, automated spreadsheets, and dashboards, ensuring precision and uniformity.
• Organize and tidy evaluation data, preparing it for review by team leaders.
• Input both paper and digital evaluations, keeping records updated.
• Create and manage instructor shifts within scheduling tools and process updates for shifts and no-shows.
• Assist in bi-weekly payroll preparation by exporting and structuring data.
• Send reminders regarding expenses and reporting to instructors.
• Track and reconcile travel and flight credits, highlighting potential savings.
• Coordinate onboarding and offboarding tasks for new hires, including reminders for fingerprinting and record updates.
• Order and distribute instructor badges and set up virtual classrooms/meeting rooms for new instructors.
• Maintain current instructor certifications and groupings.
• Act as the initial point of contact for instructor support inquiries (scheduling, logistics, travel, and platform issues).
• Assist with program-specific tasks (e.g., rostering, badging, participant emails, and platform setup) on a seasonal basis.
• Identify manual, repetitive tasks and develop methods to streamline them.
• Utilize AI tools to enhance reporting, communication, and data management, while building more efficient workflows over time.
• Outstanding organizational skills and meticulous attention to detail; you seldom allow tasks to fall through the cracks.
• Proficient in spreadsheet applications (Google Sheets / Excel), with a strong command of formulas, sorting, formatting, and pivot tables.
• Ability to strictly adhere to documented processes while managing numerous recurring deadlines simultaneously.
• Clear and professional written communication skills.
• Comfortable learning and operating across various software platforms.
• A proactive, reliable, self-motivated work style suited for a remote setting.
• Familiarity with Google Suite (Gmail/Sheets/Calendar).
• This is a fully remote position; however, applicants must reside in the United States and be authorized to work in the U.S.
• Experience with tools like Salesforce, Slack, Asana, scheduling software (e.g., Sling), and video/learning platforms.
• Understanding of utilizing AI assistants to enhance efficiency.
• Background in operations, administration, education, or a similar coordination-intensive role.
• Capability to work consistent hours (CST) and respond occasionally after hours.
