HubSpot Automation Specialist

This is a fully remote position, open to applicants in California.

📋 Description

• Develop and sustain intricate partner workflows, including the creation of new workflows, ongoing optimization, monitoring for errors, and resolving workflow failures or enrollment challenges.

• Design and implement HubSpot automations that operationalize established processes for Sales, Support, and Account Management teams (including notifications, task creation, property updates, list management, ticket routing, deal automation, pipeline stage progression, lifecycle stage transitions, and lead scoring logic) to enhance operational automation and efficiency across teams.

• Collaborate closely with Product team stakeholders to ensure proper data synchronization and operational flows between Product systems and HubSpot are functioning as intended.

• Oversee active workflows for enrollment errors, action failures, and unexpected behavior. Conduct root-cause analysis, implement solutions, and escalate complex architectural issues to the CRM & Automation Admin.

• Actively seek opportunities to enhance, simplify, and consolidate workflows. Suggest improved methods for structuring automation logic, minimizing redundancy, and optimizing the workflow library for better performance and maintainability.

• Keep comprehensive documentation for each workflow created or updated, outlining purpose, enrollment criteria, branching logic, and dependencies. Follow established naming conventions, folder structures, and governance standards.

⛳️ Requirements

• A minimum of 3 years of practical experience in building complex HubSpot workflows within a Marketing, Sales, or Revenue Operations setting.

• HubSpot certifications and completed Academy courses focused on Workflows.

• A Bachelor’s degree in Marketing, Business Administration, Management Information Systems, Business Analytics, Computer Science, or a related discipline.

• Comprehensive understanding of CRM infrastructure and all HubSpot objects, including standard objects (contacts, companies, deals, tickets) and custom objects, with demonstrated experience working with these objects in workflows.

• Expert-level proficiency in HubSpot Workflows, including object-based automations, webhooks, custom code actions, branching logic, and cross-object property synchronization.

• Strong familiarity with HubSpot ticket pipelines, deal pipelines, and lifecycle stage automation.

• Proven ability to accurately execute against written specifications and recommend workflow enhancements based on observed patterns across the platform.

• Exceptional attention to detail regarding naming conventions, folder structure, enrollment criteria, and the downstream impact of changes.

• Ability to effectively manage a high-volume request queue with shifting priorities.

• Excellent written communication skills for documentation and ticket/request updates.
