This is a fully remote position, open to applicants in United States.
• Oversee the entire process of our ATS (TeamTailor): posting job openings, managing candidate pipelines, coordinating interviews, and handling the offer process through to the signed letter.
• Collaborate with hiring managers to create structured interview guides, role scorecards, and evaluation rubrics.
• Proactively source candidates for challenging roles using LinkedIn, job boards, and referral networks.
• Track and report the effectiveness of sourcing channels, time to fill positions, time to hire, and offer acceptance rates.
• Stay updated on federal and state employment law changes that impact our multi-state, remote workforce.
• Maintain I-9 records and ensure continuous compliance with employment eligibility verification requirements.
• Guarantee appropriate worker classification (W-2, 1099, EOR) in collaboration with finance and outside counsel as necessary.
• Own and update the employee handbook and policy library, ensuring that policies are current, clear, and applied consistently.
• Manage relationships with Employer of Record (EOR) vendors for contractor and international placements.
• Take charge of the HiBob platform: managing employee records, onboarding and offboarding workflows, configuring time-off policies, and ensuring data integrity.
• Facilitate the new hire onboarding process from start to finish: handling documentation, coordinating systems access, and conducting 30/60/90-day check-ins.
• Oversee offboarding procedures: managing exit documentation, conducting exit interviews, sending COBRA notices, and coordinating final pay.
• Ensure the accuracy and cleanliness of data across HRIS, payroll, and benefits systems.
• Act as the primary point of contact for employee inquiries regarding policies, benefits, PTO, and workplace issues.
• Assist managers in navigating performance discussions, providing cross-project feedback, and addressing challenging employee situations.
• Contribute to the design and implementation of scalable processes for structured feedback in a matrixed engineering environment.
• Publish a monthly HR scorecard for executive review.
• Take ownership and continuously enhance core metrics: Time to Fill, Time to Hire, 90-Day Retention Rate, Voluntary Turnover Rate, Offer Acceptance Rate, Internal Mobility Rate, and Average Tenure at Separation.
• Transform data into actionable insights — interpreting not just the figures but their implications and the necessary actions to take.
• 3–5 years of experience as an HR Generalist or HR Coordinator — possessing a well-rounded background in recruiting, compliance, and people operations.
• Proven experience managing full-cycle recruiting independently, from initial intake to final offer.
• Solid understanding of employment law fundamentals, including FLSA, ADA, FMLA, I-9, and the complexities of multi-state compliance.
• Experience as a solo or near-solo HR practitioner within a company of 20–150 employees.
• Proficient with an ATS and HRIS platform — comfortable with new tools and quick to learn.
• Excellent written and verbal communication skills — capable of drafting clear policies, empathetic employee emails, and executive-ready reports.
• Must be US-based and legally authorized to work without sponsorship.
