• Professionally respond to and manage incoming patient calls.
• Schedule, confirm, and oversee patient appointments.
• Conduct patient intakes while ensuring precise data entry.
• Manage prior authorizations and tasks related to insurance.
• Prepare and apply superbills to patient accounts accurately.
• Efficiently handle email and inbox communications.
• Support various administrative duties and front desk operations.
• Coordinate referrals with external healthcare providers.
• Maintain effective communication with healthcare professionals.
• Conduct outreach calls to arrange informational lunch meetings.
• Provide service information focused on coordination rather than sales.
• Minimum of 1 year experience in customer service, patient scheduling, or provider outreach.
• Familiarity with electronic health record (EHR) systems (Athena Health preferred; experience with multiple EHR systems is acceptable).
• Proficiency with phone systems (RingCentral preferred).
• Basic understanding of medical billing or superbills is preferred.
• Must be able to speak and write in English clearly and effectively.
• Relevant work experience is required.
• Ability to provide an NBI clearance and/or Local Police Clearance background check prior to onboarding is mandatory.
• Must be available for video meetings with camera on when necessary.
• Device: A reliable laptop or desktop computer is required.
• Internet: A high-speed connection with a minimum of 10 Mbps is necessary.
• Audio: A noise-canceling headset is required.
• Video: A webcam is necessary for virtual meetings.
• Workspace: A quiet and professional environment is essential.
