This is a fully remote position, open to applicants in South Africa.
• Follow up with local U.S. offices after client assessments to gather assessment outcomes, next steps, and updates on the commencement of care.
• Monitor post-assessment cases and follow up on pending information to ensure that no lead, case, or next step is overlooked.
• Update HubSpot and internal CRM systems with assessment results, client decisions, workflow stages, and pertinent notes.
• Maintain precise and current records across all relevant systems.
• Review information for accuracy, completeness, and consistency, while identifying any missing or incorrect data.
• Communicate professionally with U.S. office teams via email, phone, and internal communication systems.
• Follow up with offices when updates are pending, ensuring that relevant information is accurately captured.
• Reach out to clients when assigned to collect feedback and relay information internally.
• Ensure that information received from offices is accurately represented in the relevant CRM and workflow stages.
• Escalate discrepancies, missing information, or concerns that require clarification.
• Track recurring issues and identify opportunities to enhance workflow, data quality, and follow-up processes.
• Manage multiple cases and follow-ups in a meticulous and organized manner.
• Collaborate closely with internal teams to ensure that information is communicated accurately and workflow requirements are consistently met.
• Prior experience in Quality Assurance, Quality Control, Healthcare Administration, Operations, Data Management, CRM Administration, Coordination, or a similar role.
• Familiarity with CRM systems, databases, or other information management platforms.
• Exceptional attention to detail with the capacity to identify missing, incorrect, or inconsistent information.
• Outstanding organizational and follow-up abilities.
• Proficient written and verbal English communication skills.
• Professional communication skills, especially when interacting with U.S. teams or international stakeholders.
• Capability to manage multiple cases, tasks, and follow-ups while ensuring accurate record-keeping.
• Strong data entry and administrative skills.
• Ability to work methodically and ensure that outstanding items are followed through to completion.
• Comfortable handling repetitive processes while maintaining accuracy and consistency.
• Strong problem-solving capabilities and the ability to discern when information needs clarification or escalation.
• Ability to work independently and take responsibility for assigned tasks.
• Previous experience in U.S. healthcare, home care, medical administration, or a U.S.-based BPO environment would be beneficial.
• Comfortable in a role that is primarily admin-facing rather than directly client-facing.
• Fixed fibre internet connection with a minimum upload and download speed of 25 Mbps, supporting a wired Ethernet connection.
