This is a fully remote position, open to applicants anywhere in the world.
• Conduct audits, consolidate, and revamp inBeat's operational systems across seven delivery functions: UGC, Video Editing, Design, Influencer Marketing, Creative Strategy & Copywriting, Paid Media, and Project Management.
• Develop and lead a team of 2–3 Operations Managers integrated within those delivery functions.
• Create and execute scalable workflows, documentation, and tools that evolve alongside the team.
• Oversee and standardize inBeat's operational technology stack (Airtable, ClickUp, Notion, Make/N8N/Zapier, Claude, Fathom, G-Suite), clarifying the tools we utilize, how we use them, and their integration.
• Collaborate closely with department leaders (UGC, PM, Performance Creative, Influencer Marketing, Paid Media, Video Editing, Design) to identify operational challenges and translate them into effective systems.
• Establish intake, handoff, QA, and escalation processes that ensure alignment among 100+ team members, minimizing the need for constant management oversight.
• Develop documentation and training materials that facilitate quicker onboarding for new hires and help them acclimate efficiently.
• Recognize and address operational bottlenecks within the delivery organization before they escalate into major issues.
• Demonstrated experience in leading Creative Ops or Agency Operations at a substantial agency (minimum of 100 people).
• Profound understanding of the functioning of creative delivery processes - UGC, video, design, paid media, influencer - not limited to just one or two areas.
• Proven history of establishing systems and processes that teams actively use and appreciate.
• High proficiency in project management and operations tools - Airtable, ClickUp, Notion, Make/Zapier/N8N or similar alternatives.
• A systems thinker capable of visualizing the complete operational landscape and translating it into clear, well-documented processes.
• Excellent communicator who can build trust and gain buy-in from department leaders across various creative disciplines.
• Comfortable navigating high-growth, ambiguous environments - able to establish structure without needing everything fully defined from the start.
