This is a fully remote position, open to applicants in Connecticut.
• Deliver travel services for participants of meetings and incentives, which includes organizing domestic and international air, rail, ground transportation, hotels, and other travel arrangements as needed.
• Employ effective communication skills and teamwork to provide exceptional service and ensure high customer satisfaction, while also building strong collaborative partnerships with clients and vendors.
• Interact with customers through verbal and written correspondence regarding their meeting or incentive travel, paying close attention to the specific policies and parameters of each program.
• Coordinate all travel-related services, including but not limited to, bookings for air, rail, car, car service, hotel accommodations, seat assignments, and any other requests from the client.
• Possess knowledge of international travel, encompassing fares and pricing, available resources, and travel documentation requirements.
• Serve in a consultative role with customers, adhering to the organization's guidelines.
• Assist customers with various requirements, such as changes in travel plans, split payments, and special requests, including necessary problem-solving.
• Conduct quality control checks on each reservation before submitting them to the relevant ticketing or quality control queue.
• Quickly assess information, anticipate potential issues and outcomes, and make effective decisions while being able to draw clear conclusions.
• Elevate issues to leadership for guidance when necessary.
• Review incoming correspondence and materials as needed; prioritize, summarize, and respond promptly.
• Ensure that all reservations are maintained in a completed state, regardless of whether authorization to issue tickets was received at the time of the call.
• Oversee assigned queues and tasks throughout the workday to confirm that reservations and tasks are accurate and complete.
• Ensure that all tasks within their team are completed or reassigned by the end of the shift.
• Work autonomously and with the leadership team when required to make effective decisions, including resolving customer service challenges.
• Collect payments from customers for travel services in accordance with the Client's Travel or Meeting Policy and the Travel and Transport Policy and Procedures.
• Stay informed by reading daily briefings and industry announcements to keep up with industry developments.
• Engage in training opportunities to enhance and expand travel knowledge and customer service skills.
• Maintain a thorough understanding of GDS and any other products utilized for the specific accounts being managed.
• A High School Diploma or equivalent is mandatory.
• Strong interpersonal skills and the ability to work effectively with individuals at all levels.
• Demonstrates professionalism and the skills necessary to maintain a positive image.
• High level of accuracy and attention to detail.
• Ability to keep confidential any information, observations, or viewpoints related to business matters.
• High motivation with a strong sense of responsibility, accountability, and responsiveness.
• Proficient in technology and PC literacy.
• Skilled in GDS.
• Strong capabilities in prioritizing and multitasking.
• Knowledge of geography.
• Ability to read and interpret documents effectively.
• Strong communication and customer service skills.
• Ability to perform basic mathematical operations including addition, subtraction, multiplication, and division using whole numbers, common fractions, and decimals.
• Ability to apply common sense understanding to follow instructions provided in written, oral, or diagram form.
• Ability to handle problems involving several concrete variables in standard situations.
