This is a fully remote position, open to applicants in Washington.
• Assist end-users with ongoing business operations by diagnosing, identifying, and resolving issues related to Salesforce configuration, workflows, processes, and integrations.
• Conduct regular maintenance and configuration tasks in Salesforce, including managing and testing routine system updates and vendor releases.
• Enhance the usability of Inatai’s portal for grantseekers and grantees interacting with the foundation.
• Oversee and resolve bugs and system issues reported by users, including submitting helpdesk tickets to Salesforce or other entities, and tracking these issues until resolution.
• Collaborate with software vendors to implement necessary enhancements and fix any bugs.
• Implement and sustain Salesforce platform integrations, including Conga, DocuSign, and Sage Intacct.
• Create and maintain comprehensive system documentation that details configuration decisions.
• Set up, manage, and regularly assess users, security settings, profiles, permission sets, and other system security requirements, including provisioning staff and applicant/grantee user accounts.
• Conduct discovery for new business needs, documenting requirements, business process workflows, and customization specifications for development.
• Organize and lead project meetings to collect information from stakeholders regarding emerging user needs.
• Continuously enhance the system’s usability and design to ensure that grant and CRM information is accessible and transparent within Inatai.
• Monitor and uphold data quality, and promote data quality standards among users through drafted materials and direct training.
• Assist in grants data analysis, including generating reports and creating dashboards for presenting grant information, such as operational performance indicators like processing times and volume analyses.
• Prepare grant-related schedules/reports for finance, audit, and tax purposes.
• Respond promptly to inquiries from Inatai staff regarding data on grants and sponsorships.
• Design and deliver onboarding and ongoing system training for all users, including Inatai staff, grantseekers, and grantees.
• Create training materials and write technical instructions as necessary.
• Provide management support and mentorship to staff members.
• Actively participate in Grantmaking Operations team meetings to ensure system functionality aligns with user needs.
• Engage in vendor user communities, such as Salesforce, PEAK Grantmaking, and TAG, to identify and explore system practices or new tools that could benefit staff and/or applicants/grantees, including implementing new technology systems as required.
• Maintain a broad technical knowledge of Salesforce products and best practices by attending Dreamforce, TAG, educational workshops, and reviewing release notes.
• Advocate for the system while acting as a thoughtful partner and collaborator with fellow team members, embracing a culture of excellent customer service.
• Improve accessibility practices for both external and internal users, especially in providing Spanish translations of external forms and applications.
• Contribute personal ideas, perspectives, and experiences to the foundation's evolving culture.
• Take on additional responsibilities and explore new opportunities that may arise with the changing needs and aspirations of the foundation.
• Minimum qualification: A minimum of three years of experience supporting Salesforce, with at least five years in a nonprofit and/or grantmaking organization.
• Experience collaborating with users across various departments and configuring Salesforce to address cross-departmental needs and diverse business use cases.
• Experience managing Grants Management System (GMS) and Constituent Relationship Management (CRM) databases within Salesforce.
• Proficient in configuring and managing a Salesforce Experience Cloud portal and external user accounts (e.g., grantees).
• Strong understanding of the Salesforce platform, with the ability to create custom objects, fields, custom views, and other intermediate complexity content.
• Experience in building and troubleshooting Salesforce automation, such as Flows.
• Advanced proficiency in Microsoft Office Suite.
• Extensive experience in cleaning, analyzing, visualizing, and presenting data, along with mapping process workflows. Strong ability to depict data to illustrate trends and narratives.
• Solid knowledge of project management methodologies and adeptness in using software and tools to plan, prioritize, and track project phases and assignments; familiarity with Monday.com is a plus.
• Experience in training staff on system usage, with strong technical writing skills and the capability to develop effective learning tools and training materials.
• A Salesforce certification as an Administrator, Advanced Administrator, or Business Analyst is highly preferred.
• Ability to work effectively in a remote environment, collaboratively and asynchronously executing projects and tasks.
• Passion for creating accessible systems for both team members and grantees, including those with disabilities and non-English speakers.
• Enthusiasm for grantmaking operations with a strong emphasis on customer service and trust-based philanthropy practices that align with organizational values.

• Willingness to participate in occasional meetings and events outside of standard business hours.
• Enthusiasm for traveling throughout Washington and engaging with communities that may differ from your own (travel is estimated at 20-25% for this position).
