
Fund Administrator – Corporate Affairs

This is a fully remote position, open to applicants in Philippines.
• **Key Responsibilities:**
• Corporate Affairs & Governance
• - Oversee company registers, corporate documentation, and compliance schedules for various entities.
• - Facilitate ASIC submissions, annual assessments, director/shareholder updates, and regulatory timelines.
• - Assist in business registrations, trademarks, office management, vendor relations, and corporate governance functions.
• Corporate Accounting Administration
• - Aid the Senior Bookkeeper in bookkeeping, budgeting, and financial reporting in collaboration with external accountants.
• - Assist with GST, tax filings, financial statements, and month-end/year-end processes.
• - Keep financial records and documentation for auditing and compliance purposes.
• AFSL & Regulatory Administration
• - Manage compliance across ASIC, ATO, AUSTRAC, and other regulatory platforms.
• - Monitor licensing obligations, regulatory submissions, authorized representative records, and compliance logs.
• - Keep track of reporting deadlines, industry levies, and regulatory necessities.
• Fund Administration
• - Assist in the administration of managed investment funds, investor registers, and fund documentation.
• - Coordinate the establishment of funds & sub-funds, registry providers, investor reporting, and operational practices.
• - Maintain fund documentation, workflows, and internal controls.
• Investor Services
• - Oversee investor onboarding, KYC documentation, applications, and transaction management.
• - Address investor inquiries and manage ongoing communications and reporting.
• - Ensure investor records are accurate and continuously updated.
• Product & Platform Management
• - Manage relationships with registry providers, technology partners, and external service vendors.
• - Assist in onboarding new platforms and identify opportunities for enhancing operational workflows and automation.
• Compliance & Legal Coordination
• - Organize legal and compliance documents, including disclosure materials, policies, and registers.
• - Support regulatory reporting and monitor follow-up actions from legal and compliance evaluations.
• Project & Workflow Management
• - Document business processes, coordinate internal initiatives, and aid operational enhancements.
• - Contribute to the development of scalable systems, workflows, and controls to facilitate business expansion.
• **Required Skills and Qualifications:**
• - Over 5 years of experience in fund administration, corporate administration, compliance administration, financial services operations, or related roles.
• - Proficient in using Microsoft 365 applications.
• - Experience with Xero or comparable accounting systems.
• - Proven experience in managing compliance and reporting responsibilities.
• - Strong attention to detail, excellent organizational, and project management abilities.
• - Capability to handle multiple stakeholders and deadlines concurrently.
• - Exceptional written and verbal English communication skills.
• - High degree of integrity and professionalism.
• **Highly Desirable:**
• - Experience with Australian Financial Services Licensees (AFSL).
• - Familiarity with managed funds, investment products, or trustee structures.
• - Experience interacting with ASIC, AUSTRAC, or ATO platforms.
• - Background in corporate secretarial duties.
• - Experience in compliance or risk management.
• - Familiarity with fund registry platforms.
• - Experience coordinating legal and accounting advisors.
• - Exposure to financial services or wealth management organizations.
• - Experience in building workflows utilizing Microsoft 365.
