This is a fully remote position, open to applicants in Egypt.
• Oversee daily flight logistics involving pilots, passengers, brokers, FBOs, ground transportation providers, hotels, and maintenance vendors.
• Relay flight schedules, operational updates, and itinerary modifications to all relevant parties.
• Assist the Operations team in managing logistics on the day of the flight.
• Track operational timelines and proactively detect scheduling conflicts or disruptions.
• Organize accommodations, rental cars, fuel suppliers, catering, and other operational vendors.
• Aid in maintaining relationships and pricing with preferred vendors.
• Ensure pilot expense reports and supporting documentation are accurate and compliant.
• Monitor vendor performance and escalate service issues when necessary.
• Act as the main point of contact for brokers, passengers, pilots, and vendors throughout the flight coordination process.
• Provide prompt updates on delays, itinerary changes, and operational adjustments.
• Deliver outstanding customer service in time-sensitive situations.
• Keep accurate flight records and operational documentation.
• Ensure operational information is carefully recorded within internal systems.
• Assist with administrative tasks to promote efficient daily flight operations.
• Work closely with Operations, Maintenance, Dispatch, and Executive Leadership.
• Support process enhancements that boost operational efficiency and customer experience.
• Foster a collaborative and solutions-driven team environment.
• 2–5 years of experience in coordinating private aviation or Part 135 flight operations.
• Previous experience supporting business aviation flight departments is necessary.
• Experience collaborating with pilots, FBOs, maintenance providers, brokers, and third-party vendors.
• Familiarity with FAA regulations and operational procedures in private aviation is highly desirable.
• Ability to manage multiple flight operations simultaneously.
• Exceptional organizational and multitasking skills.
• Strong verbal and written communication abilities.
• Capacity to prioritize numerous flights and competing operational requirements.
• Experience with flight operations or scheduling software.
• Proficiency in Microsoft Office Suite.
• Strong skills in operational documentation and recordkeeping.
• Excellent customer service and relationship management capabilities.
• Strong problem-solving skills and meticulous attention to detail.
