This is a fully remote position, open to applicants in Alabama, +3 more states.
• Ensure the accuracy of fleet records, including vehicle assignments, registrations, titles, toll accounts, fuel cards, maintenance history, and driver information.
• Manage the processing of new vehicle orders, vehicle disposals, transfers, and reassignment requests.
• Oversee the onboarding and offboarding processes for vehicles.
• Monitor vehicle inventory and status across all operational locations.
• Act as the primary point of contact for the Fleet Management Company and various fleet vendors on a daily basis.
• Submit and track requests concerning maintenance, fuel cards, registration renewals, tolls, telematics, roadside assistance, and accidents.
• Follow up on outstanding issues to ensure prompt resolution.
• Assist with vendor billing review processes and invoice reconciliation.
• Keep an eye on registration expirations, inspections, driver documentation, and necessary certifications.
• Aid in tracking DOT and driver compliance when applicable.
• Support processes for accident reporting and documentation of claims.
• Maintain essential fleet documents and audit files.
• Oversee preventive maintenance schedules and overdue service items.
• Coordinate repair activities and downtime updates with drivers and vendors.
• Help identify recurring maintenance issues and escalation requirements.
• Compile regular fleet reports, including vehicle inventory, utilization, maintenance status, fuel activity, and compliance dashboards.
• Preferred Associate’s or Bachelor’s degree.
• A minimum of 2 years of experience in fleet administration, transportation, operations support, or a related field is preferred.
• Experience in working with vendors and service providers.
• Strong organizational and multitasking capabilities.
• Proficiency in Excel and Microsoft Office applications.
• Excellent communication and follow-up skills.
• Ability to operate independently in a remote work environment.
