This is a fully remote position, open to applicants in Canada.
• Entering orders and managing data while utilizing email, fax, and phone communications.
• Managing correspondence via email, phone, and fax with prompt turnaround times.
• Processing and forwarding incoming and outgoing communications through email, fax, and phone.
• Preparing and distributing program letters and materials while collaborating with the team on administrative tasks.
• Reporting any Adverse Events / Severe Adverse Events (AE / SAEs) in accordance with approved SOPs.
• Completing all necessary reports (timesheets, expenses, mileage, validating CRM reports, etc.) within specified timelines and standards.
• Maintaining electronic and paper filing systems in compliance with company policies.
• Monitoring shared inboxes and appropriately responding to or redirecting inquiries.
• Assisting with the processing and tracking of PSP enrollment forms and related documentation.
• Collaborating with a cross-functional team to ensure timely patient access to therapy.
• Maintaining program databases and electronic medical records (EMRs).
• Tracking documentation concerning biologic product access, approvals, and renewals.
• Assisting with therapy coordination in collaboration with the pharmacy.
• Supporting the coordination of administrative activities related to biologic therapy.
• Monitoring patient case status and escalating outstanding items to the appropriate team members.
• Coordinating communication with healthcare providers, specialty pharmacies, infusion clinics, and PSP vendors.
• Performing additional duties as assigned by the manager.
• Completion of Grade 12 education combined with two years of community college secretarial training and/or equivalent work experience in office administration.
• Exceptional verbal and written communication, listening, and customer service abilities.
• Proactive and dynamic, with the capability to integrate into a team environment and collaborate effectively.
• Ability to accurately input information into various paper and electronic formats, with a focus on detail and precision.
• Quick learner who can adapt in a multitasking, fast-paced, and evolving environment.
• Strong organizational skills, able to handle shifting priorities with ease.
• Proficient in Microsoft Office suite, phone systems, and experienced in working with databases (i.e., ERP/CRM).
• Extensive computer and software capabilities.
• Self-motivated individual who can work independently with minimal supervision.
• Previous experience adhering to strict confidentiality protocols in handling patient and customer data.
• Experience with Patient Support Programs is considered an asset.
• A minimum of 2 years of experience in an office administrative role is required for this position.
