Finance & Operations Manager

This is a fully remote position, open to applicants in Canada.

📋 Description

• Reports to: Executive Director & Board of Directors

• Supervises: Operations Coordinator and Impact Lead

• Assist the Executive Director and Managers in the recruitment and hiring of personnel

• Oversee the onboarding process for new staff, which includes the creation and tracking of employment contracts

• Manage the offboarding process for departing employees

• Monitor staff attendance to evaluate team capacity and identify gaps

• Research and apply for various wage subsidy programs

• Ensure compliance and reporting related to wage subsidies

• Process bi-weekly payroll through a third-party payroll service provider (Ceridian)

• Supervise staff performance reviews utilizing a 360-degree feedback model

• Generate financial reports and organize bookkeeping for each quarter and year-end

• Collaborate with the Executive Director to co-create the fiscal budget

• Oversee bank accounts and credit card transactions

• Handle all invoicing to funders and customers, as well as payments to contractors and suppliers

• Compile, interpret, execute, and verify financial data

• Monitor and analyze the organization’s cash flow

• Coordinate with our accounting firm for the annual audit

• Maintain the organization's operations manual

• Ensure effective oversight of Monday.com and Google Drive organization

• Manage all information and technology access for the organization

• Oversee the Youth Climate Lab Finance email communications

• Organize quarterly board of directors meetings and provide check-in points to assist in managing sub-committees

• Develop and refine governance and human resource management policies and procedures, while proposing enhancements to the internal control framework

• Analyze performance metrics and ensure alignment with the organization’s strategic objectives

• Formulate strategies aimed at minimizing financial risks

• Liaise with our legal advisors for any legal obligations and requirements

• Collaborate with the Programs Manager to assist in budgeting and cost control for individual projects

• Work alongside the management team to establish fundraising strategies and budget plans

• Review various grant and fundraising proposals to comprehend restrictions and regulations

• Ensure adherence to various regulatory and compliance requirements from a diverse range of funders and partners, including the creation and maintenance of project budget lifecycles and associated documentation

• Supervise the Impact Lead

• Meet with impact interns or capstone students as necessary

• Oversee financial and fundraising reporting

• Demonstrate an interest in collecting and utilizing data to narrate impactful stories

• Offer financial support for grant writing efforts

• Organize fundraising assistance and data collection for the setting of fundraising goals


⛳️ Requirements

• A post-secondary degree or relevant lived experience in finance, operations, business administration, non-profit management, or related fields

• Proven interest and experience in climate action initiatives

• A strong commitment to promoting justice, equity, diversity, and inclusion (JEDI), as well as decolonization

• Experience within non-profit and/or grassroots organizations, particularly those led by youth (asset)

• Background in fundraising and grant writing (asset)

• Familiarity with building online workflows and managing HR systems (asset)

• Experience in nurturing healthy interpersonal relationships among staff and external stakeholders (asset)

• Ability to work across time zones (asset)

• Proficient in Monday.com, Google Workspace, Slack, Zoom, Miro (asset)

• Bilingual proficiency in written and spoken French and English (asset)
