Finance Operations Associate, Finance Operations Lead

This is a fully remote position, open to applicants anywhere in the world.

📋 Description

• Assist in managing our shared finance inbox, which involves processing invoices, addressing finance-related inquiries from staff and contractors, and collaborating with other teams on joint projects.

• Facilitate the daily management of our accounts payable process, gathering necessary information and documentation to ensure a seamless experience for both our vendors and internal stakeholders.

• Evaluate staff expenses for accuracy, adherence to policy, and compliance with IRS accountable plan regulations.

• Participate in month-end and year-end closing activities, including journal entries, reconciliations (bank, credit card, payroll, expenses), balance sheet assessments, and schedules for prepaid expenses and fixed assets.

• Onboard Coefficient Giving contractors and continuously seek ways to enhance the contractor experience.

• Maintain precise records of finance processes, policies, and procedures to support efficient operations and continuity.

• Manage the lifecycle of a new finance tool from evaluation through purchase, implementation, documentation, and steady-state operations.

• Establish new international entities, liaise with external accounting partners overseas, and assist in our multi-entity consolidation efforts.

• Strengthen our internal control framework as the organization expands across different jurisdictions.

• Work with our external tax and audit partners to aid in the preparation of tax returns and annual audits as required.

• Assist with payroll and benefits administration and related systems work (e.g., payroll platform migration, integrations with our broader technology infrastructure).

• Highly organized and detail-oriented; you seldom let things slip through the cracks.

• Capable of managing a large volume of inquiries, emails, and tasks, excelling at balancing daily responsiveness with dedicating time for deeper or ad hoc projects.

• A clear, professional, and empathetic written communicator who can simplify complex finance and accounting concepts and tailor your message to the audience.

• Committed to treating both internal and external stakeholders as valued customers, ensuring they feel supported after every interaction with you or your team.

• Proficient in Google Sheets, including the ability to utilize advanced functions and effectively analyze financial data.

• Eager to learn the intricacies of finance operations within a growing, mission-driven organization.

• Typically possesses 3-4 years of finance or accounting experience, or equivalent experience in operations or project management within a startup, technology firm, or management consulting agency.

• For the Finance Operations Lead level: 5-7 years of experience in finance or accounting, with significant responsibility for period-end close, audits, or similar core finance processes.
