This is a fully remote position, open to applicants in Philippines.
• Oversee daily bookkeeping, conduct bank reconciliations, and manage financial records for four distinct entities and their Xero accounts.
• Review preliminary invoices, apply appropriate coding and tracking categories, and transition items to an approved status.
• Supervise Accounts Payable and Accounts Receivable, keeping track of overdue invoices and customer payments.
• Prepare New Zealand GST returns for executive assessment and approval.
• Potentially manage payroll processing through Crystal Payroll as operational demands change.
• Monitor and reconcile job costs across Xero, ServiceM8, and custom Excel schedules.
• Extract and cross-verify operational data from ServiceM8 when automated synchronization is not possible.
• Record customer receipts in ServiceM8 and audit contractor rates against billed amounts.
• Verify supplier pricing and resolve any cost discrepancies.
• Allocate revenues and expenses accurately to the corresponding business entity, job, and tracking category.
• Generate weekly and monthly management reports, updating schedules and tracking models accordingly.
• Provide leadership with insights into cash flow, payables, receivables, and real-time job costs.
• Maintain electronic records, database filings, supplier/contractor administrative files, and job documentation.
• Follow up on any missing invoices, receipts, and supporting documents.
• Drive improvements in processes and manage ad-hoc administrative tasks.
• Ensure all accounts are fully updated and take on independent management of daily financial operations.
• Advanced proficiency in Xero and Microsoft Excel is essential.
• In-depth understanding of AP/AR workflows, bank reconciliations, and New Zealand GST regulations.
• Proven ability to manage accounts across multiple companies, perform cross-system reconciliations, and juggle competing priorities efficiently.
• Robust experience in job-costing principles and the preparation of structured management reports.
• Hands-on familiarity with ServiceM8 (or comparable job management platforms) and Crystal Payroll (or equivalent New Zealand payroll systems) is preferred.
• Background in supporting businesses within construction, roofing, scaffolding, trades, or job-based operational frameworks is advantageous.
• Prior experience directly assisting New Zealand-based enterprises is preferred.
• Exceptional attention to detail, with a proactive approach to investigating discrepancies and seeking clarification when data appears inconsistent.
• Capability to work autonomously, manage high-volume back-office operations, and meet deadlines without requiring constant supervision.
