• Identify and prioritize events. Conduct research, assess, and suggest tradeshows, conferences, and industry gatherings that correspond with our Ideal Customer Profile (ICP) and revenue objectives. Maintain a rolling 12-month event calendar.
• Negotiate and formalize contracts. Cultivate relationships with event organizers, vendors, and venues. Negotiate sponsorship deals, booth spaces, speaking opportunities, and additional services to maximize our budget.
• Oversee comprehensive planning and execution. Manage all aspects, including booth design and logistics, promotional items, marketing materials, lead capture systems, badge scanners, audio-visual needs, catering, hotel accommodations, and travel arrangements for the team.
• Serve as the on-site liaison. Attend all events in person. Set up and dismantle booths, troubleshoot issues in real-time, and ensure our presence is polished from start to finish.
• Prepare the team. Inform attending team members about objectives, messaging, target accounts, and logistics. Ensure everyone is clear on their roles, timing, and locations.
• Collaborate with sales to boost pipeline. Work with the sales team to schedule pre-show meetings, host dinners and customer events on-site, and guarantee that every lead is captured, qualified, and promptly followed up on.
• Execute pre- and post-event marketing campaigns. Collaborate with marketing on email outreach, landing pages, paid promotions, and social media to drive booth traffic and meeting bookings ahead of the event.
• Manage the budget effectively. Oversee event expenditures throughout the calendar year. Monitor costs, provide accurate forecasts, highlight risks early, and make informed trade-off decisions when priorities change.
• Establish KPIs and analyze outcomes. Define clear KPIs for each event (leads, meetings, pipeline, ROI) and create detailed post-event reports that illustrate successes, areas for improvement, and strategies for future events.
• 1 to 4 years of experience in event marketing, field marketing, or event coordination, preferably in a B2B or technology context.
• Proven experience in organizing events from start to finish, even on smaller scales. You can reference specific shows you managed and their outcomes.
• Skilled in managing an events budget. You understand how to forecast, monitor spending, and make strategic trade-offs to enhance ROI.
• Proficient in defining KPIs and generating reports that link event activities to pipeline and revenue.
• Passionate about AI and leveraging it to enhance work efficiency. You can provide examples of specific projects, tools, or processes where you've utilized AI to streamline or elevate your role as an events marketer (research, vendor communication, post-event analysis, content creation, lead refinement, etc.). This is essential.
• Basic familiarity with HubSpot on the CRM side; we will manage the rest.
• Strong project management skills. You effectively manage timelines, budgets, vendors, and various moving components without oversight.
• Comfortable negotiating with vendors and event organizers to secure favorable terms.
• Outstanding communication skills, both written and verbal. You can effectively motivate a team, brief executives, and engage prospects on the show floor with equal proficiency.
• Composed under pressure. Events can be unpredictable; you can think on your feet to solve problems.
• Willingness and ability to travel 30 to 50% during peak event seasons across North America, with potential travel to Europe as we grow.
