• Identify and prioritize events. Conduct research, assess, and recommend tradeshows, conferences, and industry gatherings that align with our Ideal Customer Profile (ICP) and revenue objectives. Maintain a dynamic event calendar for the next 12 months.
• Negotiate and finalize contracts. Build and manage relationships with event organizers, vendors, and venues. Negotiate sponsorship deals, booth spaces, speaking opportunities, and additional services to maximize budget efficiency.
• Plan and oversee the entire process. Take responsibility for every aspect, including booth design and logistics, promotional materials, lead capture tools, badge scanners, audiovisual needs, catering, hotel arrangements, and travel coordination for the team.
• Serve as the on-site liaison. Attend all events in person. Set up and dismantle booths, address issues in real-time, and ensure our presence is polished from beginning to end.
• Prepare the team. Brief participating team members on goals, key points, target accounts, and logistical details. Ensure everyone is aware of their responsibilities, timings, and locations.
• Enhance sales pipeline. Collaborate with sales to schedule pre-show meetings, host dinners, and customer events on-site, ensuring that every lead is captured, qualified, and promptly followed up on.
• Implement pre- and post-event marketing campaigns. Partner with the marketing team on email outreach, landing pages, paid promotions, and social media to increase booth traffic and meeting bookings before the event.
• Manage the budget. Oversee event spending throughout the calendar year. Monitor expenses, accurately forecast budgets, identify risks early, and make informed trade-offs when priorities shift.
• Establish KPIs and analyze outcomes. Define clear KPIs for each event (leads, meetings, pipeline, ROI) and generate comprehensive post-event reports that highlight successes, areas for improvement, and strategies for future events.
• 1 to 4 years of experience in event marketing, field marketing, or event coordination, preferably in B2B or technology sectors.
• Proven experience in managing events from inception to completion, even on a smaller scale. You can provide examples of events you've organized and their outcomes.
• Expertise in managing event budgets. You understand how to forecast, monitor spending, and make trade-offs to optimize ROI.
• Proficient in defining KPIs and creating reports that link event activities to pipeline and revenue results.
• Passionate about AI and leveraging it for improved efficiency. You can share specific projects, tools, or processes where you've utilized AI to enhance your work as an events marketer (research, vendor communication, post-event reporting, content creation, lead enrichment, etc.). This is essential, not optional.
• Basic familiarity with HubSpot on the CRM side; we'll handle the rest.
• Strong project management skills. You excel at keeping track of timelines, budgets, vendors, and multiple tasks without oversight.
• Confident in negotiating with vendors and event organizers to secure optimal terms.
• Exceptional communication skills, both written and verbal. You can motivate a team, brief executives, and engage prospects on the show floor with ease.
• Composed under pressure. You can troubleshoot effectively when challenges arise at events.
• Willingness and ability to travel 30 to 50% during peak event seasons across North America, with the possibility of European travel as we expand.
