📋 Description

• Identify and prioritize events. Conduct research, assess, and recommend tradeshows, conferences, and industry gatherings that align with our Ideal Customer Profile (ICP) and revenue objectives. Maintain a dynamic 12-month event calendar.

• Negotiate and finalize contracts. Cultivate relationships with event organizers, vendors, and venues. Negotiate sponsorships, booth spaces, speaking opportunities, and additional services to maximize every dollar spent.

• Plan and oversee all aspects. Manage every detail, encompassing booth design and shipping, promotional materials, collateral, lead capture, badge scanners, audiovisual needs, catering, hotel accommodations, and travel arrangements for the team.

• Serve as the on-site contact. Attend each event in person. Set up and dismantle booths, troubleshoot issues in real-time, and ensure our presence appears polished from start to finish.

• Prepare the team. Brief team members attending on objectives, key messages, target accounts, and logistics. Ensure everyone is informed about their roles, schedules, and responsibilities.

• Collaborate with sales to drive pipeline. Work with the sales team to schedule pre-show meetings, organize dinners, and customer events on-site, ensuring all leads are captured, qualified, and promptly followed up.

• Execute pre- and post-event campaigns. Collaborate with marketing to facilitate email outreach, create landing pages, manage paid promotions, and enhance social media efforts to boost booth traffic and meeting bookings ahead of the event.

• Manage the budget. Oversee event expenditures throughout the calendar year. Monitor costs, accurately forecast expenses, identify risks early, and make informed trade-off decisions as priorities change.

• Establish KPIs and report outcomes. Define clear KPIs for each event (leads, meetings, pipeline, ROI) and prepare comprehensive post-event reports that highlight successes, areas for improvement, and strategies for future events.


⛳️ Requirements

• 1 to 4 years of experience in event marketing, field marketing, or event coordination, preferably in B2B or technology sectors.

• Proven experience in organizing events from start to finish, even on a smaller scale. You can reference events you've managed and the outcomes achieved.

• Experience in managing event budgets. You understand how to forecast, monitor spending, and make trade-offs to optimize ROI.

• Proficient in defining KPIs and generating reports that link event activities to pipeline and revenue.

• Passionate about AI and leveraging it for efficiency. You can share specific examples of projects, tools, or workflows where you've utilized AI to enhance your work as an events marketer (such as research, vendor outreach, post-event reporting, content creation, lead enhancement, etc.). This is essential.

• Basic familiarity with HubSpot on the CRM side; additional training will be provided.

• Strong project management skills. You effectively manage timelines, budgets, vendors, and multiple tasks without overlooking details.

• Comfortable negotiating with vendors and event organizers to secure favorable terms.

• Exceptional communication skills, both written and verbal. You can engage a team, brief executives, and interact with prospects on the show floor effortlessly.

• Composed under pressure. You can think on your feet and solve problems as they arise during events.

• Willingness and ability to travel 30 to 50% during peak event seasons across North America, with potential for travel to Europe as we expand.
