Facilities Coordinator

This is a fully remote position, open to applicants in North Carolina, +2 more states.

📋 Description

• Manage daily operations of facilities across various locations.

• Ensure that office environments are clean, organized, safe, and compliant with brand standards.

• Coordinate and oversee ongoing maintenance, repairs, inspections, and cleaning services.

• Identify, evaluate, and supervise service providers (cleaning, security, HVAC, general contractors, etc.).

• Assist in reviewing bids, negotiating contracts, maintaining vendor records, and monitoring performance.

• Handle substantial ongoing follow-ups across multiple projects and vendors.

• Ensure vendor alignment with leadership's preferences and project timelines.

• Manage various facility projects concurrently in a fast-paced setting.

• Monitor outstanding tasks, request updates, and keep organized documentation.

• Serve as the primary contact for facility-related concerns and ensure issues are resolved promptly.

• Proven experience in construction management, intensive project management, or office/facility operations.

• Strong capability to navigate and manage multiple vendors and projects at the same time.

• Excellent follow-through, comfortable with extensive and continuous communication cycles.

• A quick learner who can understand and implement highly specific operational preferences.

• Strong customer service skills and the ability to keep vendors engaged and accountable.

• High attention to detail, flexibility, and composure under pressure.

• Background in administration or operations; experience in facilities is highly preferred.

• Willingness to travel irregularly to office locations for site visits.
