This is a fully remote position, open to applicants in Illinois.
• Oversee designated search activities from initiation to conclusion, ensuring that timelines, meetings, candidate interactions, internal transitions, and deliverables are well-organized, accurate, and completed punctually.
• Administer intricate calendars, arranging schedules, travel logistics, and meeting particulars for consultants, clients, candidates, and internal stakeholders with a keen focus on precision and promptness.
• Track priorities, preferences, deadlines, and project modifications; modify workflow as required to facilitate search advancement and meet stakeholder expectations.
• Execute administrative and operational tasks, including expense reporting, meeting preparation, data entry, monitoring, and other search-related duties, in a timely and precise manner.
• Engage clearly, professionally, and responsively with consultants, clients, candidates, and internal partners via email, phone, video, and face-to-face interactions.
• Handle high-volume correspondence with sound judgment, succinct writing, appropriate tone, and timely follow-up.
• Provide proactive updates, identify risks or delays early, and ensure that key stakeholders have the necessary information to drive work forward.
• Cultivate effective working relationships across departments, including Research, IT, Finance, and other administrative partners, to support smooth search execution and timely resolution of operational needs.
• Collaborate with fellow Executive Search Coordinators to balance workloads, share insights, maintain service continuity, and uphold team-wide consistency.
• Take ownership of assigned duties, fulfill commitments, and independently advance work while knowing when to seek clarification, guidance, or escalate risks.
• Keep accurate, up-to-date, and comprehensive search information in WittKieffer’s proprietary database and related systems to ensure transparency, reporting, and continuity.
• High school diploma or equivalent required; an associate or bachelor's degree is preferred.
• A minimum of three years of experience in a dynamic administrative, coordination, client service, recruiting, executive search, or professional services environment.
• Proven expertise in complex calendar management, high-volume email handling, scheduling across time zones, meeting logistics, and meeting deadlines.
• Exceptional written and verbal communication skills, with the ability to craft clear correspondence, adjust tone as necessary, and provide responsive, professional service to both internal and external stakeholders.
• Strong skills in editing, proofreading, formatting, and document preparation, with meticulous attention to accuracy, consistency, presentation, and overall quality.
• Documented ability to manage multiple priorities, foresee needs, identify obstacles, solve problems independently, and escalate issues with sound judgment.
• High level of professionalism, discretion, maturity, and sound judgment when dealing with confidential candidate, client, consultant, and firm information.
• Self-motivated, adaptable, collaborative, and open to coaching, feedback, process changes, and evolving business requirements.
• Technologically adept, with the capability to quickly learn new systems and apply a strong working knowledge of Salesforce, Templafy, Microsoft Outlook, Word, Excel, and PowerPoint.
