Executive Assistant – Co-CEOs

This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee intricate calendars for two Co-CEOs, arranging meetings with key stakeholders, generally within 24 hours of request.

• Proactively identify and address scheduling conflicts, giving priority to meetings that align with CEO objectives and organizational goals.

• Coordinate across the schedules of both Co-CEOs to ensure alignment and operational efficiency.

• Assemble daily/weekly schedule briefings, including relevant context, materials, and priorities.

• Monitor and respond to urgent communications from the Co-CEOs outside of standard business hours, including evenings and weekends, as necessary.

• Organize and manage executive travel arrangements, including flights, accommodations, ground transportation, and comprehensive itineraries.

• Handle travel logistics for conferences, board meetings, donor visits, and strategic partner gatherings.

• Manage expense reconciliation and travel reimbursements.

• Anticipate travel requirements and compile travel-related briefing documents.

• Act as a professional point of contact for internal teams, board members, partners, and external stakeholders.

• Maintain discretion regarding sensitive and confidential information.

• Streamline workflows and systems to align with the priorities and deadlines of the CEO.

• Coordinate logistics for leadership meetings, team offsites, and organizational events, as assigned.

• Support cross-functional initiatives and strategic projects as required.

• Maintain organized systems for tracking action items, deadlines, and follow-ups.

• Assist with Board coordination as needed.

• Perform personal support tasks as assigned.


⛳️ Requirements

• Experience as an Executive Assistant or in a comparable high-level administrative role.

• Demonstrated expertise in managing complex calendars for senior executives, with the ability to prioritize and coordinate among various stakeholders.

• Proven track record of anticipating needs and proactively addressing issues before they arise.

• Exceptional written and verbal communication abilities, with the skill to draft professional correspondence on behalf of executives.

• Strong interpersonal skills and the capacity to cultivate positive relationships with internal and external stakeholders at all levels.

• Ability to act as a professional liaison between executives, board members, partners, and teams.

• Excellent organizational skills with the capability to manage shifting priorities and deadlines for two executives in a dynamic, remote environment.

• Experience in coordinating complex travel logistics, including international travel arrangements.

• Ability to optimize workflows and implement systems that enhance executive efficiency.

• Proficient with Google Workspace, Slack, Zoom, and other collaboration tools.

• Comfortable using AI tools (e.g., Claude, ChatGPT) to boost efficiency in drafting, summarizing, and scheduling workflows.

• Ability to thrive in a fully remote environment with a distributed team.

• Quick learner of new tools and systems.

• Proven ability to manage sensitive and confidential information with the highest level of discretion.

• Sound judgment in prioritizing issues and recognizing when to escalate matters.

• Flexibility to address urgent issues outside of standard business hours when necessary.
