This is a fully remote position, open to applicants in California, +3 more states.
β’ Act as a reliable right-hand, decision-maker, and primary administrative support for the CTO.
β’ Offer focused operational and calendar assistance for senior R&D executives, including VPs, EVPs, and the Chief Architect.
β’ Master the intricacies of high-context calendar management for the CTO.
β’ Organize agendas, notes, action items, and ensure follow-through for leadership meetings.
β’ Distill background information into concise executive 1:1 meeting summaries.
β’ Oversee the CTO's travel arrangements, itineraries, and preferences through Navan.
β’ Handle receipts and expense reports in Ramp while ensuring adherence to policy.
β’ Monitor annual training allocations and individual travel budgets.
β’ Maintain offsite Budget vs. Actual tracking sheets.
β’ Coordinate the weekly Friday Demo Day and manage rotation calendars.
β’ Administer internal recognition programs, including submissions, voting, and rewards.
β’ Oversee logistics for conferences and leadership offsites, including attendee tracking, team mapping, badges, and vendor payments.
β’ Manage Google Drive and Outlook groups.
β’ Execute onboarding access workflows for new hires and conduct quarterly access audits across Slack, Google, and Exchange.
β’ Serve as a cross-functional operational liaison across Technology for a R&D organization of approximately 350 people, encompassing Engineering and Product.
β’ Coordinate projects, monitor budgets, proactively resolve issues, and foster relationships throughout the company.
β’ A minimum of 3 years experience as an Executive Assistant supporting VP/C-level executives, preferably in a dynamic technology, SaaS, or AI setting.
β’ Previous experience supporting a CTO, CPO, or other technology-related teams.
β’ Direct, clear, and proactive communication style.
β’ Capability to quickly synthesize complex information and communicate effectively at all organizational levels.
β’ Proficiency in Google Workspace (Sheets, Forms, Docs, Drive).
β’ Experience with MS Outlook/Exchange.
β’ Familiarity with Slack.
β’ Proficient in Zoom.
β’ Experience with Navan.
β’ Knowledge of Ramp.
β’ Familiarity with Guru.
β’ Experience with Claude/AI tools.
β’ Knowledge of Lattice.
β’ Familiarity with Gong.
β’ Highly organized with exceptional attention to detail.
β’ Strong skills in calendar prioritization.
β’ Ability to navigate complex organizational structures.
