This is a fully remote position, open to applicants in Argentina, +2 more countries.
• Attend various business and personal meetings, compiling succinct notes categorized by decisions, action items, responsible parties, and deadlines.
• Personally carry out the maximum feasible number of resultant action items.
• Delegate remaining tasks and diligently monitor their completion.
• Oversee the CEO’s inbox, draft communications, highlight priorities, and maintain an organized follow-up system.
• Create a concise daily summary featuring critical updates, required decisions, deadlines, and unresolved issues.
• Manage the CEO’s calendar, including appointments, reminders, and scheduling conflicts.
• Conduct in-depth research involving vendors, talent, partners, services, purchases, healthcare providers, and business or personal decisions.
• Evaluate options and deliver clear recommendations regarding costs, quality, risks, and subsequent steps.
• Coordinate both domestic and international travel arrangements, including flights, accommodations, transportation, reservations, itineraries, and necessary documentation.
• Liaise with vendors, acquire estimates, oversee deliverables, and follow up on overdue or incomplete tasks.
• Track financial deadlines, receipts, payments, and administrative paperwork.
• Arrange healthcare, dental, fitness, wellness, and personal appointments.
• Transform voice notes, emails, conversations, and ideas into structured tasks with priorities, assigned owners, and deadlines.
• Document recurring procedures and identify areas for automation, delegation, and process enhancement.
• Minimum of three years of experience in roles such as Executive Assistant, Personal Assistant, Administrative Assistant, Project Coordinator, or similar positions.
• Strong preference for prior experience directly supporting a founder, entrepreneur, or C-level executive.
• Excellent proficiency in both written and spoken English.
• Outstanding organizational skills and meticulous attention to detail.
• Strong judgment with the ability to operate effectively under incomplete information.
• Proven track record of proactive problem-solving, taking initiative, and ensuring closure of tasks.
• Ability to communicate complex information in a clear and concise manner.
• Comfortable respectfully challenging instructions when identifying a better approach, absent information, or significant risks.
• High degree of integrity, professionalism, discretion, and confidentiality.
• Strong proficiency with Google Workspace, Slack, Zoom, and project management tools such as Monday.com, Asana, ClickUp, or Trello.
• Willingness to learn automation tools, AI platforms, and new technologies.
• Ability to differentiate between tasks that can be independently executed and decisions requiring CEO approval.
• Reliable computer, high-speed internet connection, a quiet working environment, and alternative internet access.
• Availability for a consistent four-hour daily block, Monday through Friday, overlapping with US Eastern Time.
• Full responsiveness and availability during designated working hours.
• Openness to disclose any existing employment or recurring client commitments prior to hiring.
• No other work should conflict with the agreed working schedule.
• Willingness to complete a paid practical exercise and provide verifiable professional references.
